The Admin Assistant IV Investor Relations is responsible for administrative support and broad coordination of the VP of Investor Relations and the Investor Relations Team. This includes management of multiple calendars, support with routine correspondence, invoicing and expense reports, meeting/event planning. The incumbent must be proficient with the Microsoft suite of programs, specifically Word, Excel and PowerPoint. As this role will be supporting senior members at Enbridge and work closely with the Executive team, information is highly confidential and the workload is multifaceted and time sensitive.

What You Will Do:

Executive Assistant Support to the Vice President Investor Relations and the IR Leadership Team:

  • Proactively handle complex calendars for the VP and Director with attention to accuracy, detail and allocation of time.
  • Coordinate travel and hospitality coordination, including close collaboration with ELT EAs and Aviation.
  • Process invoices and expenses, assign financial coding, track payments and connect with vendors.
  • Document and presentation formatting and preparation.
  • Understand business priorities and identify process improvements.
  • Acting as a gatekeeper and allocator of executive time.
  • Coordinate complex project events, including but not limited to: Quarterly Earnings, and Enbridge Day.
  • Manage cross-functional engagements and high volume calendar management with EAs for EVPs and the CEO requiring detailed and strategic time management.
  • Organize various team functions.
  • Ad Hoc Requests (IT assistance, Stationary Supplies, filing, printing).

Who You Are:

Required:

  • A minimum of 5 years of related experience; or a combination of education (degree/diploma) and related experience.
  • Ability to efficiently multi-task in a fast paced environment with attention to detail.
  • Highly motivated self-starter, strong initiative, work ethic and sense of accountability.
  • Exercises judgment while considering a range of interrelated variables and process for decision making.
  • Ability to plan and organize work according to established objectives and deadlines.
  • Mature and able to work well under pressure with frequent interruptions.
  • Polished interpersonal, organizational, team-building and communications skills.
  • Ability to work well with all levels of internal management and staff, including the Executive Leadership Team and their Executive Assistants.
  • Maintaining strict confidentiality in performing the duties of this role is a requirement.
  • Strong digital literacy including an advanced level of proficiency with Microsoft Office (Excel, Word and PowerPoint).

  • This position works in a fast paced environment that operates with a sense urgency
  • Heavy workloads at times, requiring the ability to handle tight timelines and occasionally work outside of regular hours.
