Responsibilities

Position Overview

Reporting to the Digital Communications & Marketing Specialist within Student Experience at Western University, the Web Projects Coordinator will support the successful implementation of a new institutional website template by coordinating the transition of existing websites. This includes rebuilding webpages, collecting and refining content, and working closely with stakeholders within Student Experience.

The ideal candidate is a strong communicator with experience in digital content, website structure, and accessibility standards. This temporary, full-time position plays a key role in enhancing the Student Experience web presence and ensuring consistent, high-quality user experience across all related web properties.

Key Responsibilities

Website Rebuild & Migration

  • Rebuilds webpages in the new website template using the designated content management system (CMS)
  • Reviews and updates existing content to ensure accuracy, clarity, and alignment with current priorities
  • Ensures all content adheres to web accessibility standards (AODA/WCAG) and usability principles
  • Coordinates the migration of web content from outdated pages and websites to the new template structure
  • Conducts quality assurance checks to ensure all links, images, and embedded elements are functional and correctly formatted
  • Maintains consistency with the Western brand guidelines, tone, and digital style

Content Coordination

  • Collaborates with internal departments and stakeholders to gather content and source missing information
  • Advises stakeholders on best practices for structuring and presenting web content
  • Supports content optimization for search engines (SEO) and overall readability
  • Tracks progress of content migration tasks and contributes to project reporting and workflow documentation

Digital Communications & Strategy Support

  • Participates in regular team meetings to align priorities and resolve content or technical challenges
  • Provides recommendations on content structure, site architecture, or layout improvements during the rebuild
  • Contributes to the continuous improvement of web content strategy, based on user experience and analytics insights
  • Stays current with digital communications trends, particularly in accessibility, design, and user engagement

Qualifications

Education

  • Post-secondary education in communications, digital media, web development, or a related field

Experience

  • 1–3 years of experience working with websites, digital content, or CMS platforms (Drupal, WordPress, etc.)

Knowledge, Skills & Abilities

  • Ability to rebuild pages in CMS, troubleshoot formatting issues, and conduct quality assurance check (links, images, embedded content)
  • Excellent written communication and editorial skills with a strong attention to detail
  • Ability to work independently and collaboratively in a team environment
  • Creative problem-solving skills and sound professional judgment
  • Possesses a reputation for resourcefulness with a strong sense of accountability and initiative
  • Strong organizational and time management skills with the ability to handle multiple priorities
  • Builds positive relationships with departments and balances different perspectives while maintaining standards
  • Ability to learn new systems, templates, or digital tools quickly as the rebuild progresses
  • Experience working in a higher education, public sector, or large institutional environment is an asset
  • Familiarity with HTML/CSS, web analytics tools (e.g., Google Analytics), and SEO best practices considered an asset
  • Knowledge of Canadian web accessibility standards (AODA, WCAG 2.1)
