About the role

The Office of Faculty Development within VP Development and Alumni is currently seeking a Full-time Temporary Relief Advisor for approximately 18 months.

Reporting to the Director of Development, Faculty of Arts, the Advisor works closely with the Faculty of Arts Development Team, Faculty Arts' staff and faculty, as well as with the University Development and Alumni team. This position is responsible for identifying, qualifying, cultivating, soliciting, and stewarding donor relationships to secure donations to help achieve philanthropic priorities, goals, and objectives of the Faculty of Arts and overarching institutional priorities of the University of Calgary. A primary role for this position is to build and manage a major gift pipeline (~70 prospects with $25,000+ capacity), lead the development of the faculty's leadership giving (gifts $10,000-$24,999), student awards (annual and endowed), and campus giving (such as Giving Day) programs.

The Advisor interacts with key external partners including donors, Alumni, Professors Emeriti, and community leaders. The Advisor collaborates with various institutional teams (primarily within the greater Office of Development and Alumni) and Faculty members, typically within the Faculty of Arts.

The Advisor is involved in a variety of high-level planning activities for the faculty, has access to highly sensitive and confidential. The impact of decisions made by this position will be Faculty and possibly, University-wide. The ability to prioritize multiple competing demands is required. Diplomacy, tact, discretion, conflict resolution, and ability to manage fluid expectations while prioritizing multiple projects and deadlines are key skills required for this role.

There is a high volume of work, with hours outside of a regular workday occasionally required (on evenings and weekends). Project-based travel is not currently within the scope of the role, but could be required occasionally as the portfolio evolves. The position requires an ability to manage complex projects, work under pressure, and juggle multiple timelines and competing priorities. The position will also ensure confidentiality related to donor information, donations, and development programs.

The Advisor, Development is an integral part of the Faculty of Arts Development team and is involved in the planning, development, and implementation of a proactive donor engagement program to contribute to achieving the Faculty of Arts' activity metrics and fundraising targets. These metrics and targets also contribute to the goals of the University's institutional fundraising results.

The Advisor is responsible for building and managing a major gift pipeline of donors and prospects. Additional areas of the Advisor's portfolio include expertise in Student Award fundraising (annual and endowed), being the Faculty of Arts fundraising lead for campus giving initiatives such as Giving Day, leadership giving ($10,000-$24,999), and legacy giving. An identified area of growth for the portfolio includes engaging Alumni and Professor Emeriti major gift and legacy prospects. Through identification, qualification, cultivation, solicitation, and stewardship efforts, the Advisor will generate short and long-term philanthropic support for the Faculty of Arts. Success is measured by achieving set activity metrics, as determined on an annual basis.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Develop and manage the Advisor portfolio with complementary components including: Major Gift Pipeline (gifts $25,000+ with a growth focus on Alumni and Professor Emeriti giving), leadership giving (gifts $10,000-$24,999), student award fundraising (annual and endowed), legacy giving, and campus giving initiatives (such as Giving Day).
  • Develop prospect list and qualify new donors in compliance with Prospect Management and University policies and procedures.
  • In consultation with the Director of Development, Faculty of Arts, set and achieve annual fundraising targets and activity metrics related to Significant Interactions, qualifications, solicitations, gifts closed, and funds raised.
  • Develop a strategy and implementation plan for identifying new prospects.
  • Meet with prospective donors face to face for the purposes of qualifying, cultivating, soliciting and stewarding gifts
  • Document donor interactions and relevant information in Blackbaud CRM, as informed by Advancement Services procedures.
  • Create sound, detailed gift documentation including terms of reference, gift agreements, and letters of intent.
  • Work with the central Annual Giving Team to align planning campus giving initiatives (such as Giving Day)
  • Prepare written fund development materials including one-pagers, proposals, cases for support, stewardship reports, meeting briefs, and other materials as required.
  • Ensure effective collaboration with University units, including but not limited to Faculty of Arts staff and faculty, Development and Alumni teams (including Advancement Services), Student
  • Awards Office, and Faculty of Graduate Studies.
  • Build strong relationships with donors; develop and execute cultivation, and stewardship plans.
  • Attend Faculty of Arts, University, and external events as they relate to the Advisor portfolio as an ambassador of the Faculty of Arts and University of Calgary.
  • Respect for confidentiality and strong sense of professional ethics.
  • Consult with the Director of Development, Faculty of Arts, on all matters pertaining to fund development.
  • Practice ethical fundraising in keeping with the University's mission and values and in accordance with charitable giving standards.
  • Ensure ongoing professional development in fundraising, the post-secondary learning environment, and related skills and knowledge.
  • Perform other duties as required.

Qualifications / Requirements:

  • A University degree in a related field is required, with a minimum of 2-3 years prior experience in a fundraising capacity preferably with direct donor internation or possessing a strong knowledge of donor engagement best practices.
  • Must be able to secure meetings and meet confidently one-on-one with individuals and organizations for the purpose of advancing relationships towards philanthropic commitments.
  • Ability to handle ambiguity and work effectively in a large, complex, dynamic and sophisticated organization.
  • Demonstrated respect for confidentiality and strong sense of professional ethics.
  • Must be self-motivated, proactive, energetic and goal oriented.
  • Possess strong written and verbal communication skills.
  • Possess good listening as well as sound judgment and decision-making capabilities.
  • Strong interpersonal skills and ability to work both independently and collaboratively, and interact with staff at all levels.
  • Excellent computer skills including fluency in Microsoft 365 apps in a cloud environment.
  • Demonstrated ability to manage multiple projects or priorities simultaneously; strong organization and problem-solving skills.
  • Knowledge of a CRM (such as Raiser's Edge or Blackbaud CRM) is considered an asset.
  • Previous experience working in Development, within the non-profit sector, alumni relations, a post-secondary educational setting or a large, complex organization is considered an asset.
  • Demonstrated experience in face-to-face solicitation and closing gifts is preferred.
