The primary responsibility of this role is to directly supervise the registration staff within the assigned unit and site of Trillium Health Partners. As a front-line Team lead, this role ensures the accuracy and quality of registration information across all units at their site in collaboration with registration leadership. In addition, this position contributes to workflow design, supports the implementation of process improvements, and provides training and education on all registration functions within their assigned site.
Key Qualifications:
College or University degree or diploma in Business or Health Related Field preferred
Previous registration/admitting experience in a health care organization required
Customer service experience/demonstrated leadership skills required
Previous Project Management experience is an asset
Position Summary:
Supervises Registration Associates at the assigned unit/site
Manages the day-to-day operations of the unit including technology, allocation of staff assignments, problem solving, conflict resolution and customer service strategies (patient and hospital units/departments)
Participates in project teams related to registration integration
Ensures the quality of work performed by the registration team at the assigned site by developing and implementing a process to identify registration errors, or issues, or trends to the Corporate Registration Manager
Develops and maintains an ongoing data quality audit process for outpatient registration that assures that accountability for errors is pushed back to registration staff
Develops and implements an orientation/training program for all new registration staff including the maintenance of accurate training manuals and work tools
Coaches and mentors staff and students providing formal training as well as day to day direction, guidance and feedback
Assists the Corporate Registration Manger in assessing staff performance, conducting performance reviews, identifying learning needs and discipline as necessary
Assists in the interviewing and selection of new registration staff
Coordinates registration activities with finance to ensure a process for timely and accurate billing of patients (OHIP and non-OHIP)
Acts as the site registration contact to work collaboratively with HIM specifically and other units generally to identify, exam and fix unintentional merges or duplicate accounts, restore valid accounts correcting errors, merge old accounts as appropriate and update patient information related to coding requirements as appropriate
Acts a key resource for EPIC, UKG and ORACLE and assists with any changes to these systems (upgrades and testing)
Provides input to the development and compliance with unit operating budgets
Assists in the establishment of annual goals for the work unit ensuring that they align with the organization’s strategic plans
Participates on organizational committees as required.
