Since 1981, Ronald McDonald House Toronto has served as a place to call home for families with seriously ill children undergoing treatment. Ronald McDonald House Toronto encompasses a House for 81 families in downtown Toronto and seven Family Rooms in hospitals across the Greater Toronto Area and in Sudbury. The families we serve come from throughout Ontario, across Canada and around the world.
We are seeking a detail-oriented and donor-focused Development Administrator to join our team at the House, located at 240 McCaul St., Toronto. Reporting to the Director of Development, this role plays an essential part in supporting our fundraising operations, donor communications, and stewardship initiatives that strengthen relationships with our generous supporters and partners.
The Role
The Development Administrator provides administrative, operational, and donor relations support across the Development Department. This role is ideal for a collaborative and organized professional who takes pride in ensuring smooth operations, accurate data management, and exceptional donor experiences.
You will play a key role in maintaining donor records, supporting event logistics, preparing presentations and communications, and coordinating donor stewardship activities that celebrate and sustain community engagement with Ronald McDonald House Toronto.
Key Responsibilities Include
Donor Relations and Communications
- Deliver exceptional customer service by managing and responding to donor inquiries, or redirecting them to the appropriate team member.
- Provide compassionate support for in honour and in memory donations, ensuring timely gift acknowledgements.
- Support donor stewardship plans through proactive outreach, communications, reports, invitations, invoices, and payment reminders.
- Maintain accurate and timely donor records in Raiser’s Edge NXT.
- Support the creation and maintenance of online donation pages for fundraising partners and third-party community events.
Donor Experience and Revenue Development
- Coordinate all aspects of gift-in-kind contributions from corporate partners, including tracking, acknowledgment, and collaboration with internal teams.
- Support the National Partnership Program to ensure stewardship deliverables and deadlines are achieved.
- Assist with communications for McDonald’s stakeholders, including Owner/Operators, staff, and partners.
- Support the development and production of annual stewardship materials, including data collection, report design, and distribution.
- Collaborate with the Marketing team to prepare and order donor recognition and stewardship materials.
Activations, Events and Onsite Activities
- Coordinate personalized donor experiences such as tours, meetings, and engagement opportunities.
- Foster a positive donor and partner experience by responding to engagement inquiries and identifying opportunities for relationship growth.
- Coordinate corporate employee engagement initiatives including administration, scheduling, communications, invoicing, and post-event stewardship.
- Support and attend fundraising and stewardship events, including occasional evenings and weekends.

You are a proactive, detail-oriented professional with strong communication and organizational skills. You thrive in a collaborative, mission-driven environment and take pride in delivering an outstanding donor experience. You are comfortable managing multiple priorities and bring a thoughtful, service-oriented approach to your work.
Education & Experience
- College diploma or equivalent combination of education, training, and experience.
- Minimum of 2 years of experience in a charitable or non-profit environment.
- Experience in administration, project coordination, and/or event management.
- Experience working with CRM and fundraising databases; familiarity with Raiser’s Edge NXT is an asset.
Knowledge, Skills and Abilities
- Completion of satisfactory reference check and background check.
- Strong project management and organizational skills with excellent attention to detail.
- Outstanding interpersonal, verbal, and written communication skills.
- Demonstrated ability to handle sensitive information with tact and discretion.
- Proficient in Microsoft Office Suite (especially Excel) and related productivity tools.
- Knowledge of CRA guidelines and charitable tax receipting considered an asset.
- Ability to work collaboratively across teams and manage multiple priorities in a fast-paced environment.
