Job Summary

The Postgraduate Medical Education (PGME) Office manages over 50 Dalhousie University training programs with approximately 700 PGME trainees (residents/fellows) located at distributed sites throughout Nova Scotia, New Brunswick and Prince Edward Island. Reporting to the Director, PGME, the Senior Manager supports the Associate Dean, PGME, Assistant Dean, PGME and the Director, PGME in ensuring the effective administration, coordination, and continuous quality improvement of postgraduate medical education across the Faculty of Medicine. The position provides strategic and operational leadership for the Learner Administration Unit, overseeing admissions, registration, credentialing, and resident record management for postgraduate trainees.

Key Responsibilities

  • Provides leadership and operational management of the PGME Learner Administration Unit, overseeing Admissions, Visa/IMG, and Resident Records portfolios to ensure high‑quality, compliant, and efficient service delivery.

  • Provides leadership in staffing, onboarding, coaching, performance management, and continuous quality improvement, while administering the NSGEU Collective Agreement and DPMG Handbook and addressing employee relations matters.

  • Coordinates and oversees postgraduate medical admissions and registration processes, including national CaRMS matches, subspecialty and enhanced skills matches, transfers, international trainees, and strategic recruitments.

  • Ensures postgraduate trainees are appropriately credentialed and registered, providing expert guidance on licensing, institutional and external regulatory requirements, and resolving complex registration issues.

  • Supports strategic and operational alignment of PGME activities through policy development, data analysis, continuous improvement of processes and systems, and collaboration with internal and external stakeholders.

  • Represents PGME leadership as required and contributes to office‑wide initiatives, including orientation planning, peak‑period operational support, and stakeholder meetings.

Note

The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications

  • Undergraduate degree in a related field, with three to five years of progressively responsible administrative experience (or an equivalent combination of training and experience).

  • Experience in operational administration of complex programs or portfolios, including process management and coordination across multiple stakeholders.

  • Experience supervising staff, including responsibility for workload assignment, performance monitoring, and supporting training and development.

  • Experience interpreting and applying policies, regulations, and/or collective agreements in an operational context.

  • Experience working with confidential learner, personnel, or regulatory information.

Assets

  • Experience working in a university, medical education, or health‑care environment.

  • Master’s degree in a related discipline.

  • Experience with data management, reporting, and the use of electronic administrative or educational platforms (e.g., One45, SharePoint, Brightspace, CaRMS portals).

  • Familiarity with medical education environments, postgraduate training structures, or regulatory/licensure processes.
