What we are looking for:

The Project Coordinator is an integral part of the Capital Planning and Infrastructure department. The department is located at the Markham site but provides support to all sites of the corporation. Reporting to the Manager, Capital Planning and Infrastructure, the Project Coordinator will support the team by managing small facility improvement and space planning projects and assist the project managers on larger projects.
You will also be responsible for:

Coordinating and implementing small to medium capital projects as assigned, including consultation with user groups. Projects including but not limited to; renovations, furniture & equipment, signage & wayfinding, etc.

Supporting project managers on:
- Preparation of tender and contract documents
- Support contract administration
- Sourcing quotes for small facility improvement projects
- Some administrative functions, such as compiling and filing project documents, budget tracking, and preparation of tender and contract documents
- Communicating project updates and recommendations to project sponsors, project managers and key stakeholders.

Creating and maintaining capital planning inventories (e.g. space inventory, as-built facility floor plans etc.).

Supporting scheduling and coordination of meetings with team members, user groups, consultants and external stakeholders.

Participating in the review, analysis and evaluation of project documentations and provide recommendations on contract awards.

Assisting in the development of policies and procedures pertaining to capital planning
-
Working with user groups and other departments within the hospital (e.g. finance, decision support, public relations, facilities, IPAC etc.) to deliver capital projects.

Assisting with the planning and execution of space relocations.
-
Ensuring that all contractors have appropriate documentation and approval to undertake work.

Maintaining effective working relationships with all stakeholders, contractors, consultants etc.
-
Ensuring that project procurement activities are conducted in accordance with the Health System’s existing and current policies, including the Broader Public Sector Procurement Directive (BPS).

Assuming other duties and responsibilities as assigned.

Occasional travel for external meetings in the Greater Toronto Area and to OVH’s other sites (Uxbridge Hospital).

What you bring to the role:
-
Degree or diploma in Interior Design, Engineering, Architecture, Construction, and/or Project Management preferred. Combination of relevant education and experience will be considered.
-
CAPM or PMP designations and/or working towards certification considered an asset.
-
Construction project management in a healthcare environment preferred.
-
1-2 years relevant work experience in construction, design, and/or healthcare project management.
-
Proficient computer skills with working knowledge of Microsoft Office, MS Project, Adobe an asset.
-
Proficient in AutoCAD and Bluebeam.
-
Understanding of Alternative Financing and Procurement and experience with construction contracts and contract management preferred.
-
Demonstrated good attendance and performance records with the ability to maintain these same standards.
-
Possess strong problem solving, organizational skills, and interpersonal skills.
-
Ability to work independently or in a team setting.
-
Excellent written and verbal communication skills.
-
Excellent time management skills and ability to prioritize competing project timelines.

Flexibility with working hours.

Demonstrated commitment to a healthy and safe workplace for self and others (staff, patients, families, etc.) by taking all reasonable precautions and working in compliance with hospital related policies, health and safety legislation and best practices and completing relevant mandatory education as required.

Understanding of internal and external policies and guidelines (e.g. Broader Public Sector Procurement Directive, Accessibility for Ontarians with Disabilities Act, Ontario Fire Code, Ontario Building Code, hospital’s IPAC requirements, CSA Z-8000, etc.)

Demonstrated good attendance and performance records with the ability to maintain these same standards
