Who We’re Looking For:
A Pre-Design Administrator is a highly motivated, organized and knowledgeable individual willing to contribute their experience and expertise to our team. The Pre-Design Administrator supports our entire team with a variety of tasks to ensure the Engineering Permits & Submittal process progresses smoothly from start to finish. In this role you will focus your efforts on data management, project controls and permit preparation and submittal. The successful candidate will be organized, able to multitask and work as a positive member of the NSD team.
Tasks & Responsibilities:
As a Pre-Design Administrator, your responsibilities would include, but not be limited to the following:
- Gather, scan, file, and submit Design, Engineering and Permit documents internally, to clients, municipalities, AHJs, etc. per NSD’s Standard Operating Procedures.
- Draft and submit technical documents including GRCCs and Permit Applications with support from the Engineers.
- Document control as per SOPs
- Manage & file the NSD shared email account(s) and phone(s), and route communications accordingly.
- Update design progress logs.
- General office administrative duties (order office supplies, prepare courier shipments, etc)
- Administrative overflow and vacation coverage.
- Other administrative tasks associated with the design & engineering processes.
- Other duties and responsibilities as assigned by the VP of Administration.
Qualifications:
- Experience as an office admin
- Self-motivated with a great work ethic.
- Detail oriented with great organizational skills.
- Ability to work both independently and in a team environment.
- Ability to clearly communicate, in writing and verbally, with all project stakeholders; and
- Ability to prioritize, meet project deadlines and problem solve efficiently in a fast-paced environment.
- Experience with Adobe Acrobat, and Microsoft Office (Word, Excel, Outlook).
- Ability to read codes, technical specifications and building construction drawings including fire protection, architectural, structural, mechanical, and electrical is a strong asset.
- Experience in the fire protection construction industry is an asset.
