Job Summary:

The Order Coordinator is responsible for managing the full order lifecycle — from processing customer quotes to setting up product SKUs in the ERP system and issuing deposit and final invoices. This role acts as the key link between the Sales, Engineering, Operations, and Finance teams to ensure that all customer orders are accurately entered, scheduled, billed and fulfilled in a timely and professional manner.

Key Responsibilities:

  • Act as the primary internal contact, collaborating with departments to identify service gaps and improve delivery, accuracy, and fulfillment.
  • Process and verify customer orders, ensuring compliance with policies and customer requirements.
  • Manage product SKUs, pricing, and customer records in the ERP system.
  • Coordinate with Operations, Sales, Engineering, and Procurement on schedules, lead times, and project updates.
  • Track order progress, identify discrepancies, and resolve them when within scope of expertise or escalate to higher-level decision-makers as appropriate.
  • Generate and issue deposit invoices, progress invoices, and final invoices according to sales agreements.
  • Support month-end close activities related to invoicing and revenue recognition.
  • Collaborate cross-functionally to improve order flow efficiency and data accuracy within the ERP system.

Qualifications and Skills:

  • 2–4 years of experience in order processing, billing, or accounting support — ideally in a manufacturing or distribution environment.
  • Proficiency with ERP systems.
  • Strong attention to detail, accuracy and organizational skills.
  • Strong understanding of order processes and financial documentation.
  • Effective communication and coordination skills across departments.
  • Proficient in Microsoft Office Suite (especially Excel) or Google Workspace and general computer literacy.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Knowledge of invoicing and basic accounting principles is an asset.
  • Project management experience preferred
