The Family Medicine Site Supervisor (FMSS) is located at the University Hospital of Northern British Columbia (UHNBC) and is a critical leadership position within the Division of Medical Sciences (DMS). The FMSS coordinates day to day functional and organizational duties for the Family Medicine (FM) team, serving primarily post-graduate but ensuring appropriate alignment of undergraduate as required. The incumbent directly supports the delivery of the post-graduate Family Medicine programs curriculum and assessment in the broader Prince George region. This position works closely with physician leads, clinical faculty, tutors, provincial leads and Faculty of Medicine colleagues. It will also work collaboratively with Northern Health leaders and staff as needed at UHNBC and throughout Prince George and ensures communication and connection is coordinated to align across the Northern Health Authority (NHA) region. The FMSS actively participates in the development and operationalization of the DMS and FM site and department goals, values and strategies and has a strong mandate to coordinate the operations of the Family Medicine team to be a positive, closely connected and highly functional team.
The FMSS directly reports to the Senior Manager Medical Education and works closely with the Univeristy of British Columbia (UBC) Department of Family Medicine Co-Managers, as well as the Prince George Clinical and Rural Clinical Years Supervisors to ensure strong connections between the learning and teaching experiences.
This role is an integral member of a broader Faculty of Medicine team and will represent the Prince George Family Medicine sites on many committees and functions within the UBC's Faculty of Medicine as well as within Northern Health.
Responsibilities
Duties include but are not limited to:
- Providing leadership in the design, build, evaluation and revision of operational models and processes that are consistent with the UBC and or UNBC policies and processes, are efficient and innovative, align with the DMS and FM strategic plans and ensure connection to Truth and Reconciliation Commission (TRC) and Equity, Diversity, and Inclusion (EDI) mandates;
- Preparing, managing, administering, and analyzing overall site program budgets in alignment with both UBC and UNBC requirements;
- Providing oversite on record-keeping procedures for all current and previous trainees;
- Ensuring accuracy and oversite of resident employment and academic records to ensure payroll, licensing, and certification requirements are met;
- Overseeing and administering any required site accreditation activities and documenting as required;
- Providing oversite of the Prince George site website;
- Providing timely and accurate information for decision making and contextual idea generation;
- Developing and implementing improvements and efficiencies to ensure the FM team is offering peak service to all Residents, Site Directors, Faculty Leads, Faculty, interdepartmental colleagues, health authority colleagues and the broader community as required;
- Ensuring appropriate assessment and evaluation planning and implementation within the FM team;
- Engaging in ongoing professional development to consistently work towards better practices and optimal team and organizational methods;
- Bringing a keen eye of innovation and action to continuously address the changing needs the programs;
- Facilitating and exemplifying a collaborative approach; building cross organizational relationships, predominantly with Northern Health, UBC and UNBC to achieve efficiencies, optimal resource usage and learner, staff and faculty retention;
- Establishing goals and objectives for the unit in alignment with broader DMS and FM departmental goals and objectives;
- Contributing to broader planning and committee work to assist in the engagement and implementation of strategies to improve learner, faculty and staff success;
- Mentoring new and continuing staff to support a strong, empowered staff team;
- Overseeing the accuracy of virtual resources (eg. One45, WorkDay, TTPS, RMS, Sharepoint, Teams) etc;
- Training, mentoring and coordinating unit staff on policy, regulations, office procedures and best practices to support a well-functioning, positive team that is focused on collaboration, empowered decision making, and excellent service to all invested parties (ie clinical faculty, learners, Northern Health employees, provincial Faculty of Medicine counterparts);
- Recognizing and reporting on achievements, new opportunities, and concerns etc. to support ongoing positive movement within the unit;
- Reviewing academic requirements, selectives and electives and ensuring schedule has all required components for the Family Medicine programs supported out of Prince George, including academic days, assessments, and additional courses, etc;
- Working with departments and disciplines to ensure micro scheduling is happening appropriately for each block; and
- Ensuring resident success through all appropriate resident meetings, supports and engagements are in place.
Qualifications
The successful candidate will possess an undergraduate degree, together with a minimum of five years of directly related experience, including a minimum of three years in a supervisory role. Familiarity with the uniqueness of medical education and health care is essential. Experience serving a diverse learner and/or staff group is an asset.
An equivalent combination of education and experience will be considered.
A strong understanding of the Microsoft suite and learner applications is required (including, but not limited to: One45, FAST, SharePoint, Teams, RMS, WorkDay, TTPS, Entrada). Extensive knowledge of these types of systems, as well as organizational policies, and procedures and regulations is required, as incumbents will need to understand the complicated system of flowing between UBC, UNBC, and Northern Health policies and systems.
Incumbents must have exceptional oral, listening and written communication, judgement, interpersonal skills, cross-cultural sensitivity, organizational skills, attention to detail and time management. The incumbents must also be able to foster cooperation, provide guidance, have positive relationships and build consensus. This position requires strong emotional intelligence skills to be able to navigate the problem solving and collaborative relationships required to be successful.
Familiarity with the Freedom of Information and Protection of Privacy Act and the maintenance of confidential files and personal information is required.
Experience in supervision, training, complex budgeting, public speaking, data collection and interpretation and report writing are required.
The FMSS is a leader. This position sets the tone for the team and is responsible for fostering positive working relationships and a team that works cohesively. This is critical for the type of work the unit does. The FMSS is a sounding board and first line of defense for the unit, they must be able to provide support to the staff, Site Directors and faculty and to facilitate tough situations with the staff as this unit often deals with challenges that need quick resolutions and have potentially large impacts on faculty relationships and/or resident learning. It is critical the Supervisor has excellent conflict management skills as well as strong people skills, in addition to their ability to manage details.
Salary
This position has been classified at a Grade 12. The annual salary range for this position is $81,590.60 to $84,957.60 and the normal starting salary will be $81,590.60.
