We are looking for a Time and Attendance Coordinator to work with our People and Culture Department to help us continue in our mission to serve our community with Kindness, Accountability, Respect, and Teamwork.

Position Description:

As part of the People and Culture team, the Time and Attendance Coordinator is primarily responsible for ensuring employee timecards are entered accurately in accordance with the unit operational requirements, standardized processes, policies, and procedures, while working in a time sensitive and deadline driven environment. A key part of this role is working collaboratively with leaders and internal stakeholders to ensure timely and accurate auditing of timecards and system upgrades according to policies, procedures and collective agreements. This role is responsible for Shift Broadcasting following collective agreement language. This role assists in creating and delivering orientation and training for new hires and staff re-fresher sessions on a regular basis.

Duties:

  • Works within the parameters of the Collective Agreement provisions to ensure that the applicable scheduling information is applied correctly to staff
  • Works with multiple stakeholders to manage an effective timekeeping process through the use of a computerized schedule system (API Healthcare)
  • Collaborates with the Leaders and/or designates to ensure timecard hours are coded accurately and employee timecard warnings are corrected
  • Ensures that sick leave and other absences are reflected accurately on employee timecards
  • Completes system training for new hires, delegates and leaders
  • Supports Leaders during timecard approvals and preparing the payroll interface
  • Works closely with Payroll to review pay discrepancies and pay adjustments
  • Supports with system audits and reporting, including assistance with labour relations scheduling audits
  • Provides Shift Broadcasting support based on organization portfolios
  • Promotes an environment that encourages and supports change using change management concepts

Qualifications:

  • Secondary School Diploma or equivalent required

  • Minimum of two (2) years recent experience in a scheduling or timekeeping environment required, preferably in health care

  • Experience with computerized scheduling and timekeeping systems is required

  • Strong computer skills and proficiency with MS Office (Word, Excel and Outlook) required

  • Experience in a unionized environment is preferred

  • Strong customer focus with exceptional telephone and email etiquette, interpersonal and communication (written and verbal) skills

  • Effective team player that demonstrates a willingness to assist others and support team decisions

  • Strong understanding of scheduling best practices and collective agreements

  • Strong time management and organizational skills with ability to successfully manage tight deadlines

  • Ability to handle multiple priorities within a dynamic, fast-paced work environment

  • Excellent problem solving and prioritization skills needed, as well as strong attention to detail

  • Excellent attendance, punctuality and work performance record

Hours of Work: Monday to Friday, day shift, part time hours

Two (2) positions available.

Hiring Salary Range: Compensation is commensurate with experience
