Job Summary The Payroll Timekeeping Specialist is responsible for accurately recording and monitoring employee work hours, overtime, sick time, vacation time and absences to ensure compliance with labour laws and timely, accurate payroll processing. They serve as a key link between employees, HR, and the payroll department.

Key Responsibilities

  • Analyze and Reconcile Timecards: Daily review and analysis of employee timecards, ensuring requests are accurate and making necessary adjustments for premiums, correct hours, Job numbers and Business Units.
  • Ensure Compliance: Adhere to company policies, collective agreements, and employment standards acts (ESA) regarding work hours, overtime, and various types of leave (sick, vacation, stat holidays etc.).
  • Resolve Discrepancies: Investigate timekeeping discrepancies and work with dispatchers and or office managers to correct errors and prevent future similar issues.
  • Customer Service and Training: Act as a point of contact for employee inquiries about work hours, providing education and support to staff and leaders on timecard reading and pay expectations.
  • Run Audits and Reports: Proactively run daily and period-end audits to identify timecard issues and generate various reports for management regarding attendance and productivity.
  • Payroll Processing Assistance: Collaborate closely with the payroll department to ensure all timekeeping data is accurate and processed promptly for payroll runs, including calculations for wages.
  • Historical Corrections: Document any manual adjustments for audit purposes
  • Union Remittances: Administer monthly remittances to the unions across Canada.

Qualifications

  • Post Secondary / college diploma in Finance, or Human Resources. Payroll Certification (PCP) is nice to have.
  • 1-3 years of experience in a scheduling, timekeeping, or payroll support environment.
  • Familiarity with timekeeping software such as UKG WFM(formerly Kronos), SAP, or ADP, and strong skills in Microsoft Excel.
  • Attention to Detail: Commitment to accuracy and timeliness is critical to avoid payroll errors and ensure compliance.
  • Problem-Solving: Ability to spot irregularities, research documentation, and find solutions for complex timekeeping problems.
  • Communication: Excellent interpersonal and customer service skills for interacting with employees and other departments.
  • Discretion: Ability to maintain confidentiality and handle sensitive employee information appropriately.

The salary range is $50,000.00 to $80,000.00 per year. Actual salaries will vary based on factors such as education, experience, knowledge, skills, and abilities, as well as alignment with market data. The base salary is just one component of Ainsworth’s total compensation package, which also includes additional rewards and benefits such as short-term incentives and health insurance, among others.
