Position Description

Position Summary This position provides administrative support to the the Director of Patient Support Services, It supports a diverse range of activities. It serves as a liaison with other departmental, program managers, hospital staff, physicians and outside agencies, and ensures that all administrative functions at this senior level are coordinated with efficiency, professionalism and confidentiality.

Qualifications

  • Grade 12 diploma plus 2-year College diploma in office administration
  • Certificates of completion for ongoing computer training
  • Minimum 5 years experience supporting senior administrative functions, preferably within a healthcare setting
  • Advanced proficiency with a variety of computer applications and equipment: MS Word, Excel, Access, PowerPoint, Internet, My StJoes, Adobe Acrobat, Visio, E-mail, zipped and shared files. Equipment such as fax, scanner and copier.
  • Minimum typing speed of 65wpm and excellent transcription skills
  • Ability to communicate effectively and tactfully, both in person and by telephone.
  • Maintain excellent interpersonal relationships while handling multiple tasks, conflicting priorities and frequent interruptions.
  • Superior oral and written communication skills with demonstrated grammatical aptitude, good spelling and punctuation.
  • Good organizational and problem-solving skills, with ability to set own priorities and work with minimal supervision.
  • Clerical testing may be required as part of the selection process
  • Good work performance and a good attendance record are also essential.

Responsibilities

  • Maintains confidentiality and release of information in accordance with hospital policy at all times.
  • Obligation to review and commit to applicable departmental and hospital policies and procedures at all times.
  • Provides administrative support to the Directort of Patient Support Services and Departments Managers for projects scheduling etc. - e.g., controls calendar, coordinates schedule, ensures that all relevant material is available according to the Director's schedule. Maintains a bring-forward file.
  • Coordinates meetings: contacts and confirms participants, arranges meeting rooms, set-ups audio/visual equipment, compiles and sends out agendas, takes minutes, follows-up on action items as directed.
  • Establishes and maintains files, filing correspondence, copies of contracts and other documentation.
  • Provides Monthly Reports and updates for projects happening within the department
  • Support for the various volunteer committees and key events such a Breakfast with Santa, Nursing Week, EVS Week
  • Provides secretarial support to the following committees:
  • Greent Team
  • Waste Management Committee
  • Quality and Perforance Committee
  • Innovation and Process Improvement Committee
  • Employee Relations Council
  • Other committtess as needed
  • Completion and follow-up for Human Resources, Finance, Printing, Information Services, and Telecom Requisitions and submission of purchasing requests.
  • Provides logistical support to Director and Managers
  • Answers phone and redirects calls as necessary.
  • Follows-up on issues as directed.
  • Maintains intranet and internet website for all Services on portfolio
  • Utilizes appropriate software programs or computer applications to produce correspondence, administrative reports and statistical data.
  • Coordinates travel/expense reimbursements for the Director and delegates.
  • Develops and maintains various spreadsheets and powerpoint presentations for indicator monitoring and reporting.
  • Sets up vendor presentations and follows-up with vendors as required.
  • Conduct regular office duties such as filing, faxing, and couriering letters, etc.
  • Maintains effective communication throughout the organization with community partners.
  • Contributes to continuous quality improvement initiatives on a regular basis.
  • Provides ad hoc support as required and undertakes projects as required
  • Communication with various stakeholders, which requires a high level of professionalism, judgement and ability to prioritize. This position will have contact with a range of stakeholders on behalf of the Director

Wage Rate $30.57...$31.92...$33.27 (plus 14% in lieu of benefits)
