The Systems and Data Analyst is responsible for the ongoing management, optimization, and integrity of the school’s Student Information System and related data platforms. This position ensures that student and academic data is accurate, secure, and readily available to support daily operations, Ministry reporting, and long-term strategic goals.

In addition to managing SIS processes such as scheduling, reporting, and data entry, the Analyst develops reports and dashboards, supports integrations between systems (Admissions, Finance, Advancement, etc.), and helps departments use data effectively. This hybrid role blends hands-on SIS administration with data analysis and visualization, serving as a bridge between technology and school operations.

This role is 100% in person at our campus in Kerrisdale.

Key Accountabilities/Responsibilities:

SIS Administration and Management

  • Serve as the primary administrator for the MySchool SIS, ensuring accurate student, course, and enrollment data.
  • Maintain academic structures, timetables, and reporting templates.
  • Provide user support, permissions management, and training for staff and faculty.
  • Troubleshoot SIS issues with the vendor.
  • Ensure SIS data aligns with other systems (e.g., Admissions, Advancement, Finance) through scheduled syncs or imports/exports.
  • Prepare and submit all BC Ministry of Education and Child Care reports.
  • Document and maintain detailed SIS workflows and user guides.

Data Analysis and Reporting

  • Develop dashboards and reports for school leadership and departments using Crystal Reports
  • Analyze SIS and other institutional data to identify trends, improve efficiency, and support strategic planning.
  • Automate reporting processes and assist with API-based integrations when possible.

Cross-Departmental Collaboration

  • Partner with Academics, Admissions, and Finance to ensure consistent data handling and reporting practices.
  • Provide end-user training on SIS functions and data procedures.
  • Support audits, accreditation, and inspection processes through accurate data retrieval and reporting.

Governance and Security

  • Uphold data privacy and security standards when managing student, staff, and family information.
  • Ensure compliance with internal policies and relevant privacy legislation.
  • Support risk mitigation through careful access control and adherence to retention and confidentiality policies.

Experience, Knowledge, Skills & Abilities:

  • Post-secondary education in Computer Science, Information Systems, Data Analytics, or a related field.
  • Prior experience supporting or administering a Student Information System (SIS) in an educational environment is an asset.
  • 1-2 years demonstrated experience managing and reporting on data using SQL and Crystal Reports preferred
  • Proficiency with Microsoft Office applications, particularly Excel, for data analysis and reporting.
  • Familiarity with the Google Suite of applications.
  • Familiarity with BC Ministry of Education data submission requirements is an asset.
  • Ability to create user-friendly documentation and train staff effectively.
  • Excellent attention to detail and organizational skills when managing large datasets.
  • Collaborative communicator able to work with both technical and non-technical users.
  • Strong analytical and problem-solving skills, with the ability to identify and improve data workflows.
  • Commitment to maintaining confidentiality and upholding data security standards.
  • Patience and willingness to investigate and handle issues independently.
  • Ability to handle multiple priorities.
  • High degree of diplomacy, discretion and confidentiality.
  • Experience with data visualization tools and reporting platforms.
  • Experience in education or independent school environments is an asset.

Compensation: Annual salary: $76,000 - $86,000 - depending on experience.

Employees of Crofton House School receive competitive compensation and support for professional, educational and leadership development. Employees are entitled to three weeks paid vacation plus 18 Admin Days (paid days off when the School is closed).
