NEW OPPORTUNITY:
HR & SYSTEMS COORDINATOR
Reporting to the Director, Human Resources, the Human Resources & Systems Coordinator will support the delivery of HR priorities across the company and its portfolio of owned and/or managed hotels across Canada. The role combines hands-on HR coordination with responsibility for HR systems, workflow automation, process optimization, and continuous improvement. The Human Resources & Systems Coordinator will support both English- and French-speaking team members and acts as a key connector between HR operations, systems, and internal and external stakeholders.
RESPONSIBILITIES:
HR Support
-
Coordinate resources and support administration required for all HR functions, including recruitment, onboarding, performance management, health and safety / wellness, employee relations, training and development, employee separation and employee record keeping

Assist in researching and providing information to team members regarding legislation, employment standards and best work practices
-
Prepare documentation as needed, including employment agreements, offer letters, confirmation of employment in English and French. Assist with French translations as required

Manage shared mailboxes, including forwarding to applicable individuals as required
-
Assist in drafting new and/or updated processes within the HR function across the company and assist in coordinating changes to policies and procedures as required
-
Collect and compile HR data from a variety of sources including the human resource information system (HRIS) and payroll outputs, management and employee surveys, exit interviews, employment records, government and/or industry statistics, practices, and other sources
-
Ensure HR practices are compliant with relevant legislative requirements and company core values, maintaining current knowledge of relevant legislation

Build strong, collaborative partnerships with internal and external stakeholders
-
Other relevant duties as required
HR Systems, Workflow Automation & Process Improvement

Support day-to-day HRIS operations including workflows, approvals, forms, and system reporting
-
Manage and administer employee changes in HRIS (Bamboo HR)
-
Manage and maintain HR SharePoint content
-
Design, maintain, and improve HR workflows and approval processes within HR systems and supporting tools
-
Identify opportunities to automate manual or repetitive HR tasks across the employee lifecycle (e.g., onboarding, employee changes, offboarding)
-
Assist with the configuration and optimization of automated HR workflows and employee requests
-
Test, document, and support new or enhanced HR workflows prior to rollout
-
Troubleshoot basic HR system and workflow issues and provide first-level user support
-
Maintain up-to-date documentation for HR workflows, system processes, and automation logic
-
Collect, compile, and validate HR data to support reporting, audits, and process improvement
-
Collaborate with internal and external stakeholders to ensure HR systems and automated workflows align with business needs
Experience Required
-
Minimum 2 years of experience in HR, Administration, Operations or a relevant role
-
Previous exposure to cross-provincial employment standards, human rights, OHS and privacy legislation
-
Previous project coordination experience considered an asset
-
Previous experience with Human Resources Information Systems (HRIS), HR systems, and SharePoint
-
Previous experience supporting automated or AI‑assisted workflows within HR systems
-
Working knowledge of AI‑enabled productivity tools to support process improvement or workflow optimization initiatives

- Fluency in English and French communication required (written and verbal)
- Strong attention to detail
- Demonstrated knowledge working with data and systems
- Excellent client service and interpersonal skills, strong presentation skills
- Ability to troubleshoot, strong problem-solving skills

- Technologically adept with an interest in systems and automation

Desired Education

CPHR designation or working towards designation preferred

University degree or diploma in Human Resources, Business Administration or related discipline

Additional training or coursework in HR systems, reporting, or process improvement considered an asset
WORKING CONDITIONS:
May require occasional weekend and evening work in order to achieve deadlines and projects
