Your Role The Golf & Grounds Administrative Assistant reports to the General Manager, Golf & Grounds and supports the Manager, Golf & Grounds, CPGA Head Professional and the Coordinator,Golf Events & Operations. This position plays a vital role in the coordination of event logistics, administrative efficiency, and internal communication across the Grounds and Golf departments. The Administrative Assistant will assist with scheduling, payroll, event preparation, and post-event reporting, ensuring seamless execution of operations and high service standards.
Your Impact
- Support the Manager, Golf & Grounds, CPGA Head Professional and the Coordinator, Golf Events & Operations with day-to-day administrative tasks and calendar management.
- Promote positive interdepartmental communication and workflow.
- Assist in maintaining detailed records, ensuring data integrity across platforms such as ASANA, Salesforce, and Microsoft Excel.
- Contribute to the success of golf and grounds events by providing behind-the-scenes coordination and support.
- Input event details into Salesforce and ASANA to generate accurate Banquet Event Orders (BEOs).
- Assist the Golf Events & Operations Coordinator with preparing venues and coordinating event logistics.
- Provide on-site support during events to ensure smooth execution.
- Track event expenses and assist in preparing post-event reports.
- Contribute creative input to event marketing strategies.
- Assist in developing promotional materials and digital content to support event visibility.
- Help maintain up-to-date information about current and upcoming events.
- Manage the calendars for the Manager, Golf & Grounds, CPGA Head Professional and the Coordinator, Golf Events & Operations.
- Assist with compiling and submitting accurate payroll data.
- Coordinate schedules to ensure proper staffing and coverage during events.
- Create and format PowerPoint presentations for internal and external meetings.
- Ensure all presentation materials align with event themes and brand standards.
- Maintain effective communication with internal departments and external vendors.
- Develop and maintain spreadsheets for budget tracking, scheduling, and event timelines.
- Support inventory tracking and ordering of materials needed for events.
- Act as a liaison with the Finance Department for budget and reporting coordination.
- Address internal inquiries and resolve administrative issues promptly and professionally.
- Support seasonal event planning and preparation, including seasonal grounds or course transitions.
- Perform other duties as assigned by the Manager, Golf & Grounds, CPGA Head Professional and the Coordinator, Golf Events & Operations.
Your Accomplishments
- Completion of High School or GED
- 1-3 years of experience in an administrative or customer service role
- Experience supporting events or coordinating schedules is an asset
- Strong organizational and multitasking skills
- Excellent verbal and written communication abilities
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with ASANA and Salesforce considered an asset
- Ability to work independently and collaboratively in a fast-paced environment
- Detail-oriented with a commitment to accuracy and quality

Working Conditions
- This position requires a flexible schedule including statutory holidays, early morning, late night, and weekend work. Hours of work will vary based on business needs and golf course requirements.
- Job involves working under variable temperature conditions and noise levels, in indoor and outdoor settings.
- This position may include heavy lifting of supplies and equipment up to 50 lbs, bending and walking.
- This position requires use of standard office equipment.
