As a Receptionist your responsibilities will include:
- Serving as the first point of contact at reception, welcoming clients and colleagues while maintaining an organized and professional front desk environment
- Answering incoming calls promptly and courteously, redirecting them to the appropriate departments or team members as needed
- Supporting the Firm’s culture by demonstrating courteous, professional behaviour and fostering positive relationships
- Performing general administrative tasks including mail sorting, scanning, courier coordination, vendor delivery tracking, access card management, and ordering supplies as needed
- Managing internal scheduling and room bookings, and supporting catering as needed in collaboration with the Office Services Coordinator
- Maintaining documentation with updated processes and floor plans, and managing supply orders including coding of invoices
- Submitting facility requests online and coordinating with building management to ensure timely resolution and completion of service tickets
- Managing visitor seat assignments for offices and workstations, ensuring accurate tagging and clear communication with requestors
- Entering and maintaining client data using Microsoft Dynamics 365 software (D365)
- Participating in training to stay current with changes in software and processes
- Other duties as required

- Minimum 1 year of administrative or relevant customer service experience, bonus points for experience in a busy professional services environment
- Excellent verbal and written communication skills both in-person and virtually
- Solid business acumen with strong interpersonal skills and demonstrated ability to build positive professional relationships
- Strong organizational skills with the ability to effectively use technology and digital tools to streamline tasks and improve workflow efficiency
- Strong attention to detail and consistent production of high-quality work
- Ability to work effectively within tight timelines on simultaneous projects
- Ability to walk during the day and lift/carry a minimum of 15lbs
- Knowledge of and experience with Microsoft Office Suite (Word, Excel, Outlook)
- Exceptional client service mindset with ability to de-escalate potentially difficult situations
