Position Overview As our Project Accounting Coordinator, you will play a key role in keeping projects on track by managing timekeeping, cost reporting, and invoice reconciliation. You’ll support both accounts payable and receivable activities, ensure accurate payroll for unionized and non-unionized teams, and help shape fair compensation plans.
In this highly collaborative role, you’ll work closely with project managers, field teams, and finance staff to resolve timesheet issues, track project costs, and support resource planning—all while contributing to the smooth financial operation of our projects.
Location: Remote in Oakville, Ontario
Your Day To Day As Project Accounting Coordinator Timekeeping & Payroll Support
- Review and reconcile field technician timesheets for weekly payroll submission.
- Ensure all time charges are accurate and aligned with customer-specific time clock systems.
- Compare crew timesheets and biometric data (when applicable) with employee-submitted timesheets; adjust discrepancies and communicate changes to relevant parties.
- Submit weekly time data by mid-week to meet strict payroll processing deadlines.
- Ensure reported hours for unionized personnel comply with the Quality Control Council of Canada (QCCC) collective agreement.
- Learn and support the payroll process as a backup to the Office Manager.
- Support month-end payroll and contractor accruals.
Cost Reporting & Billing Support
- Align field timesheets with customer billing agreements to support accurate cost report generation.
- Review project labour cost reports for accuracy and consistency with Master Services Agreements (MSAs).
- Analyze subcontractor timesheets based on individual vendor agreements; identify and communicate discrepancies to ensure timely billing and payments.
Onboarding & Compensation Planning
- Support Onboarding and Training Coordinators by preparing hire-on packages for QCCC and non-QCCC part-time employees.
- Develop compensation plans for part-time staff to ensure accurate timesheet submission and alignment with project budgets.
- Communicate with the union as needed during the onboarding of new employees.
Financial & Project Support
- Manage accounts receivable activities for field services projects.
- Provide support to the Resource Management team and assist with other project accounting tasks as required.
Required Qualifications
- Must be able to clear the Canadian Security Intelligence Service (CSIS) government security assessment.
- Valid security clearance for Bruce Power and Ontario Power Generation sites desirable.
- Degree or diploma in business administration desirable or equivalent combination of education and related professional experience.
- Accurate and quick learner who is highly organized.
- Strong time management skills and able to re-assess priorities to ensure due dates are met.
- Understanding of general project accounting practices.
- Experience with customer site specific training and comprehension of policies, procedures and regulations of the nuclear industry.
- Proven ability to succeed in autonomous assignments.
- Strong aptitude for the elimination of manual processes/waste.
- Strong aptitude with Microsoft Suite, particularly Microsoft Excel.
- Familiarity with working in a unionized environment.
- Collective Agreements and Wage Schedules.
- Experience in SharePoint – navigation and working knowledge for centralized project documentation storage.
Security Clearance This role requires the successful candidate to complete the security clearance process. The security clearance process is conducted in accordance with applicable regulatory requirements of the Canadian Security Intelligence Service (CSIS) and the Canadian Nuclear Safety Commission (CNSC) and may take up to 12 months to complete.
