Job Summary
Based at Wasaya Airways’ Thunder Bay location, the Flight Ops Admin will report to the Chief Pilot(s) and perform a variety of administrative tasks which support the Flight Operations Department, including, but not limited to, flight crew training coordination, flight crew travel coordination related to training and positioning, flight crew payroll processing, flight crew uniform supply ordering and issuing, and flight operations meeting administration.
Responsibilities
- Schedule and book all initial and recurrent training, flight testing for pilots, and applicable management.
- Prepare pilot pay and process completed pay information with the finance department.
- Verify pilots Expense, overtime, per diems and any other pay allotment as per the Collective Bargaining Agreement (CBA).
- Processing bi-weekly payroll cycles.
- Calculating wages, overtime, deductions, and statutory contributions.
- Ensuring accurate and timely payment of salaries and wages.
- Generating pay slips and managing payroll-related inquiries.
- Managing time and attendance data and its integration with payroll.
- Ensuring compliance with payroll-related legislation and regulations.
- Auditing payroll data for accuracy and completeness.
- Generating T4s and other year-end tax documents.
- Generating reports on various HR and payroll metrics.
- Analyzing data to identify trends and areas for improvement.
- Maintain confidential payroll records.
- Identify and resolve payroll discrepancies
- Update Flight Crew phone list and contact list.
- Assist the Training Records Department with crew training records.
- Other Flight Operations related duties as assigned by the Director of Flight Operations, Chief Pilots, and Assistant Chief Pilots as required.
- Coordinate and distribute pilot uniforms in accordance with the CBA..
- Utilize company issued software platforms as required.
- Any other duties as required.
Qualifications
- High school diploma or equivalent education.
- Two (2) years previous administrative experience or an equivalent combination of related post- secondary education and work experience.
- Experience with payroll, payroll software(s), or in a finance role an asset.
- Excellent organizational skills.
- Ability to work collaboratively with team members.
- Ability to work well under time constraints and deadlines
- Superior time management skills.
- Ability to multitask and prioritize tasks with minimal supervision.
- Strong knowledge of Microsoft Office products, including Excel, Word, and database software.
- Able to maintain filing systems and basic databases.
- Meticulous records maintenance skills.
- Superior telephone manners and strong interpersonal skills.
- Excellent communication skills, oral and written.
- Able and willing to learn new skills as required to perform duties.
- Knowledge of the aviation industry an asset.
Conditions of Employment
- Overtime may be required.
- Travel may be required.
- Ability to lift up to 20lbs.
- Manual dexterity required to use desktop computer and peripherals.
