About the role

Key Responsibilities
- Provide day-to-day administrative support to the site team.
- Maintain organized site files, drawings, and documentation.
- Assist with general office duties such as printing, scanning, and filing.
- Maintain the Site Office, including ordering of supplies.
- Prepare and Issue Purchase Orders to Suppliers.
- Maintain Site Logs for Materials, Equipment, and Rentals.
- Maintain logs for RFIs (Requests for Information), Submittals, Change orders, and Site instructions.
- Track and distribute updated drawings and revisions.
- Prepare and maintain daily logs on Procore for site progress and lost day tracking.
- Record site activities, workforce numbers, weather conditions, and deliveries.
- Maintain visitor and subcontractor logs.
- Distribute project documentation to subcontractors and consultants.
- Assist with meeting coordination and prepare meeting minutes.
- Handle incoming site correspondence.
- Maintain site safety including documentation, signage, equipment, and training records.
- Assist with tracking safety meetings and toolbox talks.
- Maintain site safety board updates.
Qualifications
- Education: Diploma or certificate in Construction Administration, Business Administration, Construction Management, or a related field.
- Experience: 1–3 years of administrative experience (construction industry preferred).
- Skills:
- Strong organization and attention to detail.
- Ability to manage multiple documents and deadlines.
- Good communication and coordination skills.
- Proficiency in Microsoft Excel, Microsoft Word, Procore, and Bluebeam Revu.
