Overview
As we move through a period of exciting transformation and organizational change, Professional Engineers Ontario (PEO) has an immediate opening for a Program Coordinator to join the Regulatory Transformation team.
Under the authority of the Professional Engineers Act, PEO licenses and governs over 91,500 licence and certificate holders and regulates the practice of professional engineering in Ontario. PEO’s mission is to regulate and advance the practice of engineering to protect the public interest. With a talented, multidisciplinary staff of over 100, PEO’s vision is to lead regulation, inspire excellence and thriving communities.
Position Summary
The Program Coordinator supports the coordination, planning, and execution of strategic regulatory transformation initiatives and programs. The role is responsible for ensuring structured program delivery through effective documentation, cross-functional collaboration, and project coordination, enabling the successful translation of program frameworks into operational outcomes.
Responsibilities
Coordinate program activities within the Regulatory Transformation department, ensuring alignment with established project frameworks and organizational priorities. Create and maintain operational policies, procedures, guidance documents, templates and supporting resources to promote consistent program delivery and stakeholder understanding. Serve as the primary point of contact for program-related inquiries, providing information, guidance, and support to internal and external stakeholders. Support staff in coordinating cross-functional teams (e.g., Communications, IT, Regulatory Operations, Policy) to: collect and consolidate program-related inputs from multiple stakeholders, and provide clarity on program requirements, timelines and deliverables. Facilitate coordination between departments to support the execution of responsibilities within the program framework. Proactively identify, assess, and mitigate risks and issues related to program development, readiness, and delivery, ensuring timely escalation and resolution. Assist with preparing, arranging and delivering presentations on the program to inform stakeholders about the programs. Facilitate meetings, workshops, and stakeholder sessions, ensuring effective documentation, follow-ups, and action tracking. Contribute to change management and communication efforts to support program adoption and stakeholder alignment. Monitor program-specific service channels and delivery components before and post-implementation (e.g., dedicated mailbox, customer service pathways, and program. touchpoints) to ensure timely responses, consistency in service delivery, and alignment with program objectives. Maintain and administer the program’s database, tracking trends, statistics, and key performance indicators (KPIs) to support reporting, issue resolution, and continuous improvement. Perform other tasks as assigned and associated with the operation and evolution of the program.
Specialized Skills and Knowledge
Skills and Knowledge: Ability to manage competing priorities in a fast-paced environment. Strong coordination, organizational, and stakeholder management skills, with the ability to work effectively across multiple departments and priorities Strong presentation skills with demonstrated ability to present to different stakeholder groups. Strong analytical and problem-solving skills, with a proactive approach to risk identification and mitigation Proficiency in Microsoft Office tools such as Word, Excel, and PowerPoint. Understanding implementation processes, including the translation of policy decisions into operational requirements and business processes Experience in managing reporting key performance indicators (KPIs) and performance measurement processes, including data collection, tracking, analysis, and reporting to support decision-making and program performance. Knowledge of PEO’s legislative and regulatory framework is an asset.
Education/Qualifications
3 to 5 years of project coordination and program administration experience. Post-secondary education in Business Administration, or related field Experience in communicating with multiple stakeholders in parallel Experience in a regulatory environment, policy, or program oversight is an asset
Anticipated Salary
The expected annual salary for this position is $65,000 - $75,000.
