The Opportunity - Campus Bookstore Clerk, temporary, part-time
This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement
Job Classification: Clerk III
Key Job Functions:
Customer Service & Sales:
- Provides comprehensive customer service to internal and external customers by greeting customers upon entry, listening and questioning to ascertain their needs, assisting customers with textbooks purchasing and enhancing the overall service image of the Campus Store.
- Answers telephone calls and email inquiries and resolving customer requests, concerns or problems directly.
- Processes online orders placed through the Campus Store ecommerce system by following pre established guidelines, policies and procedures. Arranges courier shipments and follows up with customers regarding order status.
- Knowledgeable regarding various vendors used by the Campus Store.
- Keeps up with current trends with giftware as well as clothing, keeps up to date with what's hot and what’s not.
- Creates effective visual displays to enhance store sales and reflect products that are available in store.
- Performs cashiering duties by operating a POS system to process customer transactions, verifies signing authority and completes appropriate paperwork for departmental and student accounts.
- Verifies daily receipts and cashier floats by reconciling totals with end of day reports.
- Performs opening and closing procedures, logging in and out of the POS systems, counting floats, locking the safe, ensuring customers can access the store at opening and verifying all customers have left the store at closing.
Inventory Management & Procurement:
- Maintains the Campus Store’s inventory management system by creating and editing item records, verifies on hand counts with system records, generates reports and spreadsheets and maintains records of inventory counts to keep the inventory system accurate and current.
- Verifies the accuracy of information on textbook adoptions and researches missing information by looking up item records, contacting publishers to verify availability and current pricing, and reports any issues to the manager that may impact meeting established deadlines.
- Daily supply orders as requested or required by customers. Compares vendor pricing to guarantee the best price for the customer. Keeps shelves well stocked with a good selection of products while staying within the operating budget.
- Places custom stationery orders for internal customers, assists with custom clothing orders for student clubs and internal customers.
- Orders confectionery and health and beauty products to maintain a good selection of product, and stays within the operating budget.
- Arranges for the shipping and receiving of merchandise, supplies, and/or print jobs by lifting, unpacking and moving boxes of inbound/outbound shipments, verifying quantities of goods against invoices, enters quantities and prices in the inventory management system, reporting variances, labeling and restocking products, and packing customer orders to ensure efficient receipt and delivery of orders.
- Follow up with vendors and suppliers to check on the status of orders and returns and inform customers of any delays. Refer complex problems to the manager.
- Maintains all areas of the Campus Store by stocking shelves, tidying, merchandising and organizing to facilitate customer access, stimulate sales and enhance the overall image of the store.
- Maintains inventory levels of supplies needed by the Campus Store including boxes and shipping materials.
- Assists with year-end inventory.
Administrative & Operational Support:
- Performs general clerical support by maintaining purchase orders, vendors and customer files to facilitate staff access and filing and sorting as assigned.
Health & Safety
- Comply with all health and safety policies, procedures, and regulations set out by the company
Education/Experience/Skills/Knowledge Required
- High school diploma or equivalent is required.
- Two years of directly related administrative support or retail experience, including experience in an educational setting with significant student contact.
- Visual merchandising experience is highly recommended.
- Excellent customer service skills with the ability to deliver positive customer experiences.
- Thorough organizational, troubleshooting and analytical skills.
- Thorough intercultural, interpersonal and communication (oral and written) skills.
- Thorough knowledge of point of sale, integrated retail operating systems and work order processing.
- Working knowledge of the policies and procedures that govern the College as well as the Campus Store operations.
- Working knowledge of office practices and procedures, and clerical tasks such as sorting and filing.
- Skill in the operation of computerized cash registers and POS systems, as well as office equipment.
- Makes decisions with the College’s interests in mind, while demonstrating inclusivity, openness, transparency, civility, and respect.
