Position Summary:

Under the direction of the Chief Invigilator, Records and Examinations, the Exam Supervisor is responsible for the exam venue and setup process, collection of exam requirements, scheduling, rooming, and printing/bundling of final exams as per the University Exam Regulations, including special exams (deferred, proctor, etc.), overseeing the exam proctor process for external exams, supervises the Examinations Coordinator, as well as provides expertise and support in all matters related to the University Exam Regulations and processes.

Duties and Responsibilities:

  • Responsible for the collection of exam requirements from instructors, scheduling and rooming exams using the Exam Scheduling system, and managing the printing/bundling of exams.
  • Responsible for organizing the setup of all exam venues in preparation for each final exam session, includes liaising with Athletics, Special Events, Security Services, etc.
  • Plans and schedules exam dates while ensuring that all University Exam Regulations are respected.
  • Responsible for creating the Exam Production Schedule for each final exam session and confirming all the important dates with the relevant partners (i.e., Athletics, Special Events) and service providers.
  • Responsible for securing all required services for final exam sessions (e.g., exam desks and chairs, on-site medic, security, deliveries).
  • Sets and ensures that all examinations deadlines are met; develops and implements procedures, controls and record keeping systems for the exam office using databases and current software technology.
  • Responsible for validating and approving all hours worked by invigilators in each exam session.
  • Ensures that exam processes are in line with the Invigilator Collective Agreement.
  • Oversees the Exam Proctor process for external exams; reviews and approves requests, hires proctors, and ensures the external exams are received and sent back to the relevant institution/organization.
  • Supervises the Examinations Coordinator and assigns their tasks; organizes workloads, trains, schedules, and ensures the accuracy of the work delivered by the coordinators and casuals.
  • Responsible for the setup of the satellite exam offices includes providing supplies, workbooks, posters, etc. in preparation for each exam session, in conjunction with the Exams Coordinator, Invigilation Coordinator and Deputies.
  • Builds the exam printing schedule with Printing Services; Set the schedules for timely pickup and delivery of exams to the satellite exam offices, Office of Students with Disabilities, and departments with Special Events; Organizes and chairs the exam planning and security meetings attended by Associate Deans, and representatives from Security Services, Special Events, Office of Students with Disabilities and University Services.
  • Liaises with instructors, departments, Security Services, Special Events, and other partners and resolves issues as they arise.
  • Provides support and backup for other areas of Enrolment Services, as needed.

Other Qualifying Skills and/or Abilities

Must be client-focused and service-oriented with a proven ability to provide excellent customer service and develop close working relationships with a variety of clients (academics, students, and other administrators). Make independent decisions and solve problems. Demonstrated initiative, very good organizational skills, and excellent attention to detail are a must. Proven ability to prioritize and multi-task and work under pressure to meet multiple strict deadlines in a fast-paced, dynamic environment. Proven discretion in dealing with confidential information. Demonstrate ability to work independently and as part of a team. Demonstrated ease with technological applications with a proven ability to work in a PC environment using MS Word, advanced Excel and Outlook, Banner (SIS), myCourses, Infosilem, Remark Office scoring software, Adobe Professional and Minerva. Knowledge of exam scoring an asset.
