Role Summary
The Senior FF&E Project Manager is responsible for leading the successful execution of complex FF&E procurement projects from purchasing handover through project closeout. Acting as the primary client contact during project execution, this role is accountable for project planning, schedule management, installation strategy, risk management, client communication, deficiency resolution, site reviews, warranty coordination, and overall project delivery. Operating with a high degree of autonomy, the Senior FF&E Project Manager leads several complex projects simultaneously while serving as a senior resource to Project Managers and the broader procurement team. This role champions best practices in project execution, mentors junior team members, and contributes to the continuous improvement of project management processes, standards, and tools across mknly procurement.
The Senior FF&E Project Manager is responsible for
Leading project execution from purchasing handover through final closeout. Acting as the primary client contact throughout project execution. Developing project execution plans, installation strategies, schedules, and risk mitigation plans. Coordinating site teams, consultants, vendors, warehouses, logistics providers, installation teams, and internal stakeholders. Tracking, logging, managing, and coordinating design revisions/ changes, shop drawing and submittal processes, deficiencies, and warranties. Providing guidance and mentorship to FF&E Project Managers and junior project execution team. Identifying opportunities and making strategic revisions to improve project delivery processes, systems, SOPs, templates, and standards.

Key Responsibilities
Project Leadership Lead the execution of several complex FF&E procurement projects simultaneously, from purchasing handover through project closeout. Oversee local and remote projects across North America with a proven ability to manage remote sites from a distance. Develop comprehensive installation plans and guides, schedules, and strategies. Maintain ownership of project delivery, ensuring projects are completed on schedule, within budget, and to mknly quality standards.
Installation & Site Coordination
Plan, coordinate, prepare and oversee FF&E deliveries, installations, and project sequencing. Conduct and attend site readiness reviews and installation planning meetings. Oversee installation progress and resolve field issues in collaboration with vendors and installers. Lead project walkthroughs, deficiency reviews, and client signoffs. Ensure installations and project closeout meet mknly’s quality standards and client expectations.
Deficiency & Warranty Management
Lead deficiency tracking through final resolution. Coordinate warranty claims and vendor remediation activities. Ensure all project closeout documentation, warranty information, care and maintenance manuals, and turnover packages are complete and accurate.
Studio Leadership & Mentorship
Mentor and support project execution team by sharing knowledge, providing guidance, and assisting with complex project challenges. Support onboarding and training of new Project Managers.
Contribute to workload planning by identifying resource needs
Promote collaboration, accountability, and professionalism across the project management team.
Operational Excellence
Develop and refine project management templates, checklists, workflows, SOPs, and best practices. Support continuous improvement initiatives related to project execution, installation, project closeout, and aftercare.
Qualifications
7+ years of progressive experience in FF&E procurement, interior design, or project management.
Basic proficiency in AutoCAD (viewing, measuring, printing)
Demonstrated success independently managing large-scale, complex procurement projects. Strong understanding of hospitality, seniors living, workplace, luxury residential, and multi-family projects. Excellent knowledge of procurement processes, FF&E installations, logistics coordination, and project closeout. Exceptional communication, client relationship, negotiation, and problem-solving skills. Proven ability to mentor others and lead through influence. Highly organized with the ability to manage multiple concurrent projects in a fast-paced environment. Proficiency with Microsoft Office Suite, project management software (Procore or eq.), Bluebeam, and procurement management systems.
