Scheduler (3-5 Month CONTRACT)
About the role
Position: Scheduler (3-5 Month CONTRACT) JOB ID: 16815491 Location: Oakville Shift : 8-12 hours between 7am-10pm, Mon-Fri Hourly rate: $31-$33 Industry: Healthcare Are you highly organized, detail-oriented, and passionate about creating smooth operations? We’re looking for a Scheduler to join our Healthcare client's team and play a key role in ensuring efficient staffing coverage across their 24/7 operations. This role is ideal for someone who enjoys balancing multiple priorities, problem-solving on the fly, and building strong relationships with staff and management alike.
What You’ll Do
- Partner closely with the management team to prepare schedules, process electronic timecards, and manage leave requests for unionized staff ahead of payroll deadlines.
- Apply shift break rules and track time off (sick, personal, bereavement, emergency leave, etc.) with accuracy and confidentiality.
- Coordinate and direct staffing to ensure appropriate coverage across all areas—making adjustments as needed to maintain smooth operations.
- Be the go-to resource for employees with scheduling inquiries, clarifying policies and procedures around time off and absences.
- Identify scheduling challenges and recommend solutions to management.
- Maintain and improve the scheduling system—liaising with the software provider to troubleshoot and implement efficiencies.
- Track and analyze attendance patterns, prepare reports and metrics, and draft attendance memos when required.
- Support workplace safety by helping ensure the environment remains safe and hazard-free.
- Take on additional tasks and projects that contribute to the team’s success.
Qualifications
- A Community College Diploma or equivalent work experience.
- At least 2 years of scheduling experience (experience in a 24/7 unionized environment is a strong asset).
- Familiarity with online scheduling systems and system interfaces with other business platforms.
- Understanding of attendance management practices and related policies.
- Ability to interpret and apply collective agreements regarding hours of work and scheduling.
- Knowledge of relevant employment legislation.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency in scheduling software and MS Office applications.
- Flexibility and reliability in meeting attendance and scheduling requirements.
- Proof of full COVID-19 vaccination and compliance with ongoing requirements.
