About the role

SMS Equipment is seeking a Regional Service Administrator for a temporary, full-time parental leave coverage term of 12-18 months.

The Regional Service Administrator plays a key role in keeping branch operations running smoothly. This position provides support across multiple branches with tasks including purchasing, documentation, asset tracking, onboarding, and service-related workflows. You’ll help ensure processes are organized, accurate, and efficient, making a real difference in the day-to-day operations of the team.

Location: Calgary, AB
Work Arrangement: Fixed on site – 5 days per week in the office
Salary Range: $50,000 - $55,000 per year. This temporary position is eligible for extended health benefits.
Schedule: Monday to Friday, 8 hours per day

What You’ll Do

  • Answer and direct incoming calls and relay messages appropriately.
  • Request and collect required information to set up new vendors and contractors.
  • Process and follow up on purchase orders and source supplies and materials for assigned branches.
  • Complete credit card reconciliations and ensure accurate reporting.
  • Book travel accommodations and coordinate meeting spaces for staff.
  • Track and schedule safety training sessions; maintain accurate training records.
  • Support employee onboarding by preparing documentation and coordinating setup.
  • Manage and track electronic assets (laptops, phones) with IT support.
  • Digitize, store, and organize operational and safety documentation.
  • Manage work orders and process and invoice preventative maintenance services.
  • Provide administrative support to regional service coordinators.
  • Complete service and warranty reporting.

What You Bring

Prior relevant experience is an asset. Additional qualifications include:

  • Strong organizational skills with attention to detail and ability to multitask effectively across multiple priorities.
  • Excellent written and verbal communication skills.
  • Proficiency with digital tools and collaboration platforms, including the Microsoft Office Suite (Outlook, Excel, Word, Teams).
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Professional, solutions-focused approach to customer service and internal communications.
