About The Role Canadian Blood Services is looking for a Temporary full-time Program Assistant to join our dynamic Enterprise Facilities team.
In this role, you will provide both system administrative and customer service support, with a focus on excelling in one or more specialized areas. These include supporting internal technology systems, managing user access and data entry, contributing to the upkeep of infrastructure support for knowledge management tools, and ensuring project documentation is organized and up to date. This position is ideal for someone who enjoys both technical work and collaborative support.
Formula for success
- Drawing on your organizational, time management and interpersonal skills, you will play a key role in providing system administrative and customer service support to the Enterprise Facilities department and its stakeholders. Your work will be essential in keeping operations running smoothly and efficiently in a fast paced, dynamic environment, helping the team deliver high quality service and meet organizational goals.
- As requested, you will provide vital support to projects and programs by creating reports, presentations, and meeting documentation, while also responding to inquiries and concerns in alignment with established scripts, procedures and processes. Your contribution in this area will play an important role in ensuring that key initiatives stay on track, are well-documented and communicated effectively.
- Focusing on your analytical skills, you will carefully review documentation including but not limited to records, data, forms, policies, and departmental manuals. This work is crucial to ensure accuracy, compliance and that the team has the information needed to operate effectively.
- Utilizing your attention to detail, you will maintain documents, records, and data in a controlled manner to ensure accessibility to information using established knowledge management principles.
Desired Education And Skills
- Completion of post-secondary administrative training from an accredited community college or academic institution.
- You will have a minimum of three (3) years' related experience including knowledge of good record keeping practices.
- Preferably, you will have previous experience/exposure working within an GMP environment.
- Ability to work effectively in a national virtual team environment, demonstrating maturity to work independently with minimal supervision. Strong teamwork, conflict management and collaboration skills including experience working with cross-functional teams and providing national support.
- Proficiency in the use of personal computers within a Windows operating system using Microsoft Word, Excel, and Outlook software.
- Preferably you will have experience with Teams, SharePoint, SAP, Documentum, and Forms.
- You will need a demonstrated commitment to excellent customer service paired with strong oral and written communication skills in English.

- This role will work in a hybrid environment with requirements to be onsite at Canadian Blood Services location 40% of the time/days of the week.
- Shift/hours - Monday to Friday, 37.5 hours a week/7.5 hours a day.
- Travel requirements - you may be required to travel to any of our sites, for team building meetings 1-2 times a year when required.
This position must meet the Trustworthiness and Reliability Verification requirements of the Canadian Nuclear Safety Commission and is subject to criminal records and employment verification checks.
