Position: Office Administrator
Location: Hamilton, ON
Type: Existing vacancy
Hours: 40 hours per week
Compensation Range: $38,000 - $45,000
Overview
As an Office Administrator at Homestead, you will help us to interface with tenants, both existing and prospective. The main role is to rent apartments to prospective tenants and maintain administrative procedures and protocols related to the position, while supporting the other office staff as required.
Responsibilities:
- Respond to rental inquiries by fax/telephone
- Taking rental applications and last month's deposits
- Respond to tenant account and procedure inquiries
- Answer telephone calls and return emails
- Accept rent payments (cheque, money order) and record on deposit sheets
- Superintendent inquiries re: existing and prospective tenants
- Recommending apartments and setting up viewings with prospective tenants
- Complete office paperwork
- Some cleaning duties required
Taking in and processing:

Parking agreements and cancellations

Notice to vacate and notice to rescind

Transfer requests
-
Inform applicants of approved applications

Lease Signing
-
Perform pre-vacate, move-in and move-out inspections

Process the A/R Report
-
Perform door knocking (rent reminders, rent collection, N4s)

Process the Availability Report
-
Document work order / service requests for residents
-
Delivery of notice of entries and legal documents to residents
Qualifications:
-
Previous professional administrative experience preferred
-
Strong customer service and interpersonal skills
-
Excellent verbal and written communication skills
-
Ability to multitask and prioritize in a fast-paced environment

Proficiency in basic office software (Microsoft Office, email, data entry)
-
Reliability, attention to detail, and safe work practices are essential
