Context
The Administrative Assistant will be allocated to the Gatineau-Ottawa tramway project, an ambitious mobility initiative designed to provide better access to Gatineau's west end and to the downtown areas of Gatineau and Ottawa via a structured public transit network. The project also aims to requalify the urban spaces it passes through, and to support the strong demographic growth and numerous developments expected in the coming years in this sector of Gatineau.
Missions/Main Duties
- Assist team in work;
- Support project management and project team;
- Coordinate the organization of meetings and events;
- Coordinate internal communications for project teams and technical engineering teams;
- Ensure that the format and content of external communications meets project requirements and corporate expectations;
- Coordinate air, hotel and transportation reservations and registrations, etc. as required;
- Attend and report on selected meetings;
- Project petty cash management;
- Coordinate with the head office the ordering of office supplies (stationery and health and safety equipment such as PPE);
- Any other general administrative office work required by the project.
Profile/Skills
Education: Professional diploma in bureaucratic or another diploma relevant to the role.
Years of experience: 5 to 7 years' experience in a similar role.
Technical Competencies
- Excellent command of Word (advanced functions);
- Excellent knowledge of Excel and Power Point;
- Clear verbal and written communication skills in French.
Personal & Soft Skills
- Discretion and confidentiality;
- Strong organizational skills, ability to meet deadlines;
- Attention to detail; ability to work under pressure;
- Team spirit, positive attitude and sense of initiative.
