About the role

Position Title: Analyst, Total Rewards & HRIS

Location: Toronto, ON

Reports To: Director, Total Rewards

I. Scope and Summary of Primary Responsibilities

Reporting to the Director, Total Rewards, the Total Rewards & HRIS Analyst is responsible for the accurate processing, administration, and integrity of employee data across the Total Rewards and payroll lifecycle. This role holds operational accountability for processing all employee and total rewards related changes in ADP Workforce Now and other applicable benefits platforms, in partnership with the People & Culture team and Payroll leadership.

The role serves as a critical operational partner supporting benefits and pension administration, payroll continuity, HRIS accuracy, and process optimization. Acting as a system gatekeeper, this position ensures data accuracy, compliance, and consistency while supporting a positive and accessible employee experience.

Success in this role requires strong attention to detail, sound judgment, system fluency, and the ability to manage competing priorities while handling sensitive information with professionalism and discretion.

II. Essential Functions

  • Act as the primary processor and system owner for all employee lifecycle, compensation, benefits, pension, and leave-related transactions in ADP Workforce Now, including hires, terminations, job and organizational changes, compensation updates, eligibility changes, and return to work processing.

  • Partner with People & Culture Coordinators, Business Partners, Payroll, and Finance to ensure all changes are documented, and processed accurately and on time.

  • Operate as the HRIS gatekeeper, maintaining data integrity, internal controls, and consistency across systems.

  • Validate all system changes prior to payroll processing and support payroll continuity through data validation, reconciliations, reporting, and issue resolution.

  • Provide payroll continuity as a trained backup to the Manager, Payroll & Benefits during absences, peak periods, and year end activities.

  • Administer Total Rewards programs including benefits, pension, wellness, and supplemental offerings, ensuring accurate enrollments, deductions, reconciliations, and employee follow-up.

  • Act as a point of contact for employee and manager inquiries related to Total Rewards, payroll operations, and HR systems.

  • Conduct regular HRIS, payroll, and benefits audits and reconciliations, and support internal and external audit requirements.

  • Support testing, configuration updates, and implementation of ADP enhancements, and maintain HRIS and payroll related SOPs and documentation.

  • Perform regular system audits and access/control reviews within ADP Workforce Now and related benefits platforms, identifying and resolving discrepancies to maintain data integrity and compliance.

  • Develop payroll and workforce reports for Finance and management.

  • Identify and implement opportunities to streamline, automate, and improve People & Culture operational processes.

III. Qualifications

Knowledge and Skill Requirements

  • Strong working knowledge of employment standards, payroll legislation, human rights, privacy legislation, and total rewards practices.

  • Demonstrated experience processing employee lifecycle, compensation, and payroll related changes in an HRIS.

  • Strong analytical, organizational, and problem-solving skills with high attention to detail.

  • Proficiency in Microsoft Word, Excel, Outlook, and reporting tools.

  • Ability to manage confidential information with discretion and professionalism.

  • Strong interpersonal and customer service skills, with the ability to explain complex information clearly.

  • Adaptable, solutions oriented, and comfortable working in an evolving environment.

Experience and Education

  • Post-secondary degree or diploma in Human Resources Management, Business Administration, or a related field or experience.

  • 2-4 years of combined experience in Total Rewards, HR operations, payroll, and benefits administration.

  • Experience working with HRIS and payroll systems (ADP Workforce Now preferred).

  • Lived or professional experience relating to blindness or sight loss considered an asset.

Work Environment

  • This role works with highly sensitive, personal, and confidential employee information and is expected to exercise discretion, professionalism, and sound judgment.

  • This role operates in a fast paced, deadline-driven environment, with regular bi-weekly payroll cycles, compliance requirements, and competing priorities.

  • Flexibility is required to meet operational needs during peak periods such as payroll runs, year end activities, benefits enrollment, and system updates.

  • The role works in a hybrid environment, subject to operational requirements.
