Job Overview:

As a Project Coordinator, Service Operations, you will work closely with Project Managers and other teams, ensuring appropriate resources are effectively allocated to support project delivery. You will ensure that project deliverables align with Ross Video’s standards of excellence and customer experience. Working closely with cross-functional teams such as Sales, Project Management, Solutions Architects, and the Demonstration and Tradeshow Equipment (DTE) team, the Project Coordinator plays a key role in proactively planning services from the point of sale through to completion. The position also involves coordinating internal training schedules and assigning work to both full-time staff and freelance specialists. A significant aspect of the role includes maintaining accurate project data within systems such as Resource Guru, Salesforce and LN Infor. This includes tracking project progress, documenting customer interactions, and supporting reports through customized dashboards and analytics. Additionally, the role contributes to operational insights by producing reports and scorecards that highlight resource utilization, service demand, and performance trends, supporting continuous improvement project delivery.

Who You Report To: Senior Manager, Service Operations

What the Job is All About:

  • Project Coordination: Works in close collaboration with Project Managers, Solution Architects, Sales, Business Partners and System Integrators to schedule customer training, commissioning
  • Client Communication: Serve as the day-to-day point of contact for clients during project execution, providing timely updates and addressing any routine issues that arise.
  • Resource Allocation: Ensure that appropriate resources (staff, partners, or freelancers) are assigned to each client’s project.
  • Project Monitoring: Ensure accuracy of scheduling and resource data in Resource Guru and Salesforce and ERP
  • Quality Control: Review project deliverables to ensure they meet Ross Video’s standards and work with the team to address any quality issues promptly.
  • Documentation and Reporting: Monitor and report on key performance metrics such as resource utilization, service demand, and project trends
  • Process Improvement: Participate in post-project evaluations and contribute insights to improve project delivery and client satisfaction.
  • Collaboration: Work in close collaboration with the Demonstration and Tradeshow Equipment team to schedule required resources including staff, equipment, and facilities for demos and tradeshows.
  • Adaptability: Comfortable working in a fast-paced environment and adapting to changing project requirements and requests.

Who You Are:

  • Proven experience in project coordination, scheduling, or operations support roles

  • Experience working across EMEA regions, with strong cultural awareness and the ability to adapt communication and coordination styles to different working norms and stakeholder expectations.

  • Strong organizational and time management skills with the ability to manage multiple projects simultaneously

  • Excellent communication and stakeholder coordination skills, with experience working cross-functionally (e.g., Sales, Project Management, Technical teams)

  • Proficiency with project management and scheduling tools (e.g., Salesforce, Resource Guru, or similar platforms)

  • Experience maintaining accurate project records, tracking resources, and managing schedules

  • Ability to analyze data and generate reports, dashboards, and performance insights

  • Experience tracking budgets, expenses, and invoicing related to projects or services

  • Strong attention to detail and accuracy, particularly in data entry and financial tracking

  • Ability to problem-solve, prioritize tasks, and adapt in a fast-paced environment

  • Familiarity with coordinating logistics such as travel, accommodations, and equipment scheduling

Other:

  • Proficiency in multiple languages is regarded as an asset.
  • Willingness to travel for in-person meetings, conferences and summits.
  • Valid passport

Salary Information:

The pay range for this role in Canada is: $52,560 - $67,500 CAD The listed salary reflects the pay range for a role based in Canada. Compensation may differ based on alternate locations if listed. Final compensation will be determined by location, skills, experience, knowledge, and role-specific qualifications, and may be adjusted to recognize candidates accordingly.
