About the Position
Position TitleExecutive Assistant
Job Type Full Time, Temporary- 35 hours per week (8 weeks)

Position Overview
Reporting to the President and CEO or designate, the Executive Assistant (Summer Job) will support the daily operations of the President and CEO office. This includes organizing the files physically and electronically, coordinating internal and external meetings, assisting in event planning and organizing, attending the organizations and community’s events and functions, video editing, written communications drafting, data management, etc.
Primary Duties & Responsibilities
- Work directly under and report to the President & CEO or designate.
- Conduct office administration duties to ensure smooth operations.
- Assist CEO in filing documents, both physically and electronically.
- Assist with moving light document boxes and cabinets.
- Assist with the event planning and organizing of various events, including but not limited to the Annual General Meeting and the annual Multicultural Summer Festival.
- Assist with the filming and editing of the TIES & Me video series and other social media videos as needed.
- Support various meetings including board, management, committee, staff, and external gatherings.
- Assist the CEO with internal and external communication-related tasks.
- Work in person at one of TIES offices.
- Perform other job duties as requested by the CEO to provide comprehensive support.

Requirements / Qualifications
- The successful candidate will be a recent graduate or current student enrolled in a post-secondary institution.
- Must be between 15 and 30 years of age as per the requirements of the Canada Summer Job Grant.
- These positions are contingent on funding through the Canada Summer Jobs Program.
- Applicants must have a valid Social Insurance Number at the start of employment and be legally allowed to work in Canada.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Basic research and analysis capabilities
- Ability to work independently and collaboratively
- Strong written and verbal communication
- Excellent organizational and time management skills
- Detail-oriented and able to multi-task
- Strong problem-solving ability
- Demonstrates initiative and adaptability
