About the role

Position Summary Reports to: Contract & Subcontract Manager

The Contract Administrator’s Key Responsibilities Are Administer assigned prime contact and subcontracts, maintaining a continual review of progress and providing management with information regarding projected financial or technical difficulties.

  • Manage assigned prime contracts and subcontracts, continuously monitoring progress and reporting potential financial or technical issues to management.
  • Ensure timely and accurate contractual correspondence and maintain compliance with all subcontract requirements.
  • Collaborate with subcontractors to provide rate and resource lists to the Owner.
  • Enforce transparency principles for all rates and change requests.
  • Conduct subcontractor kickoff meetings, regular review meetings, and maintain strong relationships with Owners, partners, and subcontractors.
  • Verify and negotiate Change Request Forms and related issues with subcontractors.
  • Implement record-keeping systems for validating potential changes and maintain issue logs.
  • Prepare summary reports on change management, variation rates, and delay issues.
  • Prepare meeting minutes, payment coordination records, and schedule monitoring reports.
  • Track deliverables and ensure accurate documentation for subcontract agreement closeout.
  • Source qualified suppliers and subcontractors to meet Owner requirements.
  • Coordinate with engineering consultants to ensure commercial deliverables align with project needs.
  • Work with Estimating and Procurement teams to communicate bid analysis, cost forecasts, and letters of recommendation, intent, and award.
  • Administer claims and perform additional tasks as directed by the Contract & Subcontract Manager.

Education And Qualifications

  • 3–5 years of practical experience in a similar role (required).
  • Strong experience with cost-reimbursable subcontracts in a project environment (recommended).
  • Familiarity with time-and-material subcontracts (recommended).

Job Requirements

  • Proven experience across civil, architectural, electrical, and mechanical construction scopes (highly advantageous).
  • Strong background in subcontract administration and coordination.
  • In-depth understanding of construction law and contract change management.
  • Solid business acumen with a strategic mindset.
  • Excellent communication and negotiation abilities.
  • Demonstrated experience in preparing and issuing subcontract documentation (mandatory).
  • Exceptional command of English, both verbal and written (required).
  • High level of integrity and commitment to ethical business practices; trusted with sensitive information.
  • Ability to work under pressure, prioritize tasks, and manage multiple responsibilities effectively.
  • Collaborative team player with outstanding interpersonal skills.
  • Proficient in Microsoft Office applications.
  • Meticulous attention to detail and accuracy.
