Major Responsibilities and Duties:
- Share responsibility for receiving and responding to in-person, telephone and email inquiries from students, faculty, staff and the public, answering questions and redirecting as appropriate.
- Completing enrolment and timetable updates, organizing course outlines, monitoring grade submissions, and collaborating with the Examinations Office to schedule end-of-term Final Examinations.
- Assist instructors with course-related requests such as registration issues, printing or scanning.
- Help organize program events and functions.
- Support the advertising and promotion of program courses and events via social media, website, and listserv.
- Ensures the smooth operation of the program office and equipment: maintain stationery, FMIS requests, mail distribution, and various tasks of this scope.
- Assists Program Director with Web Requisitions and expense claims.
- Coordinates with other academic units for timetabling and EETS transfers.
- Manages calendar for Program Director related to appointments (for academic integrity meetings, grade appeals, student concerns, etc.) and supports committee meetings for the program.
- Track and regularly report information related to enrollments, waitlists, etc.
- Set up and maintenance of a filing system according to UVIC Policies.
- Ensures that procedures manual and how-to documents for the program are kept up-to-date and changes are communicated to program members.
- Completes other duties of similar scope and complexity as required.
Job Summary
This position reports to the Director of the Academic and Technical Writing Program and works closely with the Program Administrator. The Director’s Assistant acts as a resource person, fielding questions from students, instructors, and staff by applying their knowledge and when necessary, re-directing queries to appropriate personnel. They will regularly collect information related to program operations (e.g., enrolment patterns, waitlists, grading records, etc.) and create reports for the Director, Program Administrator, and other campus offices. They are responsible for processing and filing most of the program’s accounting-related forms, payroll for teaching assistants, and course outlines. This position provides front-line reception duties during peak enrollment periods.
Job Requirements
Experience: This role requires a minimum of one (1) year of recent experience in a similar position, preferably in a post-secondary or institutional environment or an equivalent combination of education, training, and experience.
Knowledge/Skills/Abilities:
- Commitment to valuing diversity and contributing to an inclusive and respectful working and learning environment.
- Ability to deal effectively with instructors, staff, students and the general public, practicing discretion and good judgment while maintaining confidentiality.
- Excellent organizational skills including attention to detail, time management, and ability to multi-task in a fast-paced environment.
- Ability to work with frequent interruptions.
- Strong communication and interpersonal skills with demonstrated ability to relate well and work effectively within a team environment, as well as the larger UVic community and external agencies.
- Ability to work under pressure and meet strict and often emergent deadlines.
- Ability to exercise initiative, good judgement, tact, and diplomacy.
- Strong computer skills and proficiency with computer applications (i.e. MSWord, Excel, SharePoint (Connect), Cascade).
- Familiarity with social media platforms and visual communication tools is considered an asset.
- Preference will be given to applicants with experience with UVic information systems (i.e. BANNER, FAST, Power Bi, etc.).
Specialized Knowledge/Education: Secondary school graduation or equivalent.
