About the role
Sinai Health is looking for a Medical Secretary to support our Ambulatory Medicine Clinics at our Mount Sinai Hospital Campus. In this role, the medical secretary will be expected to exercise sound judgment and independence while managing the day-to-day related administrative activities. The successful candidate will demonstrate a strong commitment to quality customer service, applying excellent problem solving and communication skills to ensure the success of the department.
In this role you will:
- Greet patients and visitors in a friendly, courteous and respectful manner
- Function in the front office clinical role providing timely, friendly, empathetic and informative service to patients and visitors
- Enter all patients’ demographics and booking of appointments for patients for various physicians, sending out faxed or emailed appointment information to patients and referring physicians
- Answer phone calls, voicemails and email messages and responding to patients in a timely manner
- Schedule patient appointments, tests and procedures
- Cerner registration for all patient visits
- Prepare and maintain patient charts, including filing of all results and correspondences received
- Validate OHIP health cards and MSH card
- Forward information to other physicians respecting patient confidentiality and privacy including retrieval of release of information documents as necessary
- Maintain an up-to-date clinical calendar on appointment scheduler
- Work collaboratively with other administrative support staff
- Perform other duties consistent with the job classification as required

- Successful completion of a post-secondary degree or diploma in a relevant discipline from an accredited educational institution 1 year of experience in related work Applicants with proven equivalent and related training and experience may also be considered
Preferred
- Secretarial program certificate
Skills and Knowledge
- Excellent telephone, interpersonal and customer service skills
- Excellent verbal/written communication skills
- Good organizational and time management skills
- Ability to use good judgment in assessing difficult situations
- Strong experience working in a health care environment
- Working independently, as a team player in liaison with patient and doctor is crucial in the structure of this position. Knowledge of general office practices, procedures and standards
- Experience in a Microsoft Office software environment
- Knowledge of medical terminology
- Knowledge of medical billing procedure
- Demonstrated satisfactory work performance and attendance history
