Job Description

Bring your creativity, initiative, and community-building skills to a role that connects clients and service providers with Career Zone’s programs, opportunities, and supports.

What you’ll be doing:

  • Supports the front-line reception where/when required, providing a welcoming environment for both participants and the public.

  • Responds to participant inquiries through in person, phone and email interactions; refers relevant enquiries to applicable YWCA programs, WorkBC offices and community resources.

  • Provides departmental administrative support to on-site and off-site programs under the direction and supervision of the Administrative Manager.

  • Coordinates room bookings, meetings and special events (in-person, virtual, hybrid) for the Career Zone Programming.

  • Provides outreach to partner organizations, partner service providers. Sharing marketing materials and relevant resources.

  • Provides outreach to local high schools and other post-secondary training institutions on Career Zone services and materials.

  • Attends local events, community events, and local workshops to promote Career Zone services.

  • Attends job fairs and Career Fairs to promote Career Zone services.

  • Researches events and outreach opportunities in the Metro Vancouver area to promote collaboration.

  • Researches resources for youth in the Metro Vancouver area to gather resources and share Career Zone resources.

  • Posts updates and announcements on various digital platforms for participant outreach as needed.

  • Works with teams across the organization ensuring public program information remains accurate and up to date.

  • Contributes to other related administrative duties and projects as assigned.

Anticipated Skills Utilized:

  • Applies a range of entry to mid-level administrative and technical skills.

  • Knowledge of promotional and marketing strategies to promote services.

  • Collaboration strategies with local partner agencies as well as community agencies.

  • Provides customer services skills with a diverse range of individuals.

  • Provides clear information and instructions through email, phone, and in-person communication; builds on business communication competencies.

  • Organizational and time management skills to effectively manage competing priorities, resources, timelines, and due dates.

  • Proficiency using computers and various platforms including Microsoft Suite (Outlook, SharePoint, MS Teams, Word, Excel, PowerPoint and MS Forms), Zoom, Eventbrite, learning management systems, and other digital platforms.

  • Attention to detail and accuracy.

  • Flexible and adaptable, shifting to changing priorities and responsibilities.

  • Interpersonal skills through collaborative working relationships in a team environment, applying professional communications and boundaries; brining a solution’s focused perspective.

  • Discretion, confidentiality and data security.

  • Exposure to a work environment with a strong commitment to adherence of internal and external policies, procedures and guidelines.

  • Working within an organization strongly committed to their mission and values, and promoting equity, diversity and inclusion, including advancing our commitments to Truth and Reconciliation and strategic priorities.

  • Working within an organization that applies a participant centred approach to all interactions, engages in continuous professional development, and applies sexual and gender-based violence (SGBV) and Gender-based Analysis Plus (GBA+) lens interactions and activities.

About This Funded Opportunity:

This position is funded by the United Way Work Experience Opportunities Grant and is open to individuals who receive or are eligible for BCEA/PWD (or federal equivalent for on-reserve) and/or face barriers to employment.

What you’ll need:

  • A valid clear criminal record check (including working with vulnerable populations) is required.

Pay: Please note that the Work Experience Placement will receive a stipend of $3,000.
