Reporting to the Payroll Manager, the Payroll Administrator is responsible for ensuring accurate processing of hourly and salary payroll, payroll reports, and assuring compliance with all applicable federal and provincial legislation in Canada, as well as adherence to company policies.
Knowledge & Skills Required
- Diploma or Certificate in payroll administration with at least 3 years of relevant payroll experience preferred
- Strong comprehension of employee taxation, employment and both provincial and federal legislation governing payroll
- Experience with UKG is preferred
- Strong attention to detail and analytical skills; skilled in accurately maintaining a large volume of information and data
- Self-motivated and able to think independently while working within a cohesive team
- Experience processing multi-provincial payroll(s)
- Experience preparing payroll reconciliations, journal entries, and year end audits
- Proficiency with Microsoft Office applications, specifically intermediate Microsoft Excel skills
- Professional, approachable and customer-service oriented
- Strong organizational and interpersonal skills, with the ability to multi-task and meet deadlines in a team-focused work environment
- Ability to prioritize workloads and utilize planning and time management skills to adhere to strict deadlines
- Strong verbal and written communication skills
- Ability to multi-task
Principal Duties and Responsibilities
- Input, verify and process bi- weekly payroll, including salaried and hourly pay for approximately 1,000 employees for multiple companies each week
- Ensure the pay run is complete and accurate in terms of employee hours, changes, approvals, overtime, voluntary and statutory deductions and taxable benefits in accordance with company policies and procedures and legislative requirements
- Prepare and reconcile bi-weekly journal entries
- Process time sheets to ensure proper completion and authorization
- Process new hires, employee terminations and employee status changes
- Check records and papers for clerical and arithmetic accuracy, completeness and compliance with established standards and procedures
- Payroll deduction administration (corporate wear reimbursements, payroll advances, traffic violation tickets, garnishees)
- Confirmation of wages, letters of employment for drivers as requested
- Set up new drivers and regular maintenance in UKG
- Prepare accounting journal entries and payroll account reconciliations
- Work with the timekeepers in each business unit to ensure all time worked and exception time is recorded accurately within timelines
- Ensure compliance with all Federal and Provincial Legislation within Canada
- Calculate and process payroll-related remittance payments on time
- Remain current with new and revised payroll regulations
- Maintain employee confidence and protect payroll operations by ensuring a high level of confidentiality
- Responsible for the balancing of all payroll entries in UKG to the approved time-sheets and various pay requests ensuring all audit and control procedures are adhered to
- Prepare and maintain related payroll records and reports
- Act as an informational resource to the business unit(s) on payroll related topics while maintaining the highest standard of customer service possible
- Employee file maintenance including, organize, file and maintains employee records
Job Types: Full-time, Permanent
Pay: $55,000.00-$60,000.00 per year
