Operations Manager
CARTESIAN Hospitality & Tourism Marketing Inc. Toronto, ON (Hybrid, 4 days in office) · Full-time · $75,000 to $85,000 CAD
We're a marketing agency for hospitality and tourism. Hotels, resorts, restaurants and attractions. We're a team of 15 and we're growing faster than our systems. That's why this role exists. Our unique attribution in the marketplace is that our only KPI is strictly increasing revenue with identifying measurable levers to pull. We focus on diagnosis, research, and tracking data to build tactical execution plans of which we are fully responsible for.
The role. You report directly to ownership, and our Project Manager reports to you. This is a build role, not a maintain role. You will inherit a talented team and a lot of process that lives in people's heads, and your job is to get it into a system and actually adopted.
To be clear on scope: this is not a marketing, strategy or creative role. You will not build campaigns or client strategy. You develop and implement the operational plan that lets the people who do that work deliver on time, on scope and on budget.
What you'll own
Implementation is one of the toughest but most impactful pieces to solid operations. We are looking for someone who doesn't just outline the process, but is very focused on implementing them by any means necessary and holding themselves accountable to doing so.
Operational infrastructure, built from the ground up. This is the headline of the job. Stand up Monday.com as a true agency operating platform, not a task list: activity types, invoice categories, time tracking, resource planning and billing SOPs, adopted across every team. Then design and launch a formal time tracking policy and compliance framework, including manager accountability, escalation paths and the internal comms to roll it out agency-wide. SOP library and training compliance. A central SOP library and training compliance system so onboarding time drops and every team follows the same critical processes. SOW lifecycle and scope adherence. The full SOW lifecycle alongside ownership and finance: scoping, pricing inputs, acceptance criteria and change control. Scope adherence tracking across accounts, flagging over-scope risk early and protecting margin. Diagnostic build-out. Build the operational infrastructure behind our client diagnostic and audit offering. The marketing analysis stays with strategy. You own the machinery: intake, workflow, resourcing, deliverable templates, turnaround times, and the handoff into paid engagements. Delivery, resourcing and connective tissue. One master view of every active project across six service lines, with weekly capacity planning across staff and contractors. You are the operational connective tissue between creative, media, performance, production, client service and ownership. Process implementation and adoption. Designing process is the easy half. You own the rollout roadmap and getting buy-in from very different personalities so it actually sticks. AI and automation. We want you building AI into how the agency runs, using Claude Code, OpenAI and similar tools daily to accelerate SOP development, documentation and internal comms, and to build internal automations and reporting. Budgets and financial operations. Organisational and workflow budgets. Job costing against every quote so we know real margin per project. On-time invoicing and AR follow-up. Translating financial data into clear reporting for ownership. People operations. Onboarding, agreements, payroll inputs, and the performance review cadence.
What we're looking for
Four-plus years in operations, delivery management or senior project management, agency background strongly preferred Direct experience implementing an agency operating or PSA platform from the ground up (Monday.com, Scoro, Productive, Kantata, Float or similar), including time tracking and resource planning adopted across teams. This is the closest thing to a hard requirement on this list Extremely detail and deadline oriented. Nothing slips quietly on your watch High self-initiative and personal accountability. You will not be managed day to day Genuinely proficient with Claude Code, OpenAI and AI tooling, with real examples of workflows you've built Proven change management ability across a team of different working styles Real comfort with numbers. Budgets, job costing, margin, SOW pricing and AR are core to this job Legally entitled to work in Canada Bonus points for hospitality or tourism experience, QuickBooks Online, or having helped scale a team past 30 people.
