Position Summary
The City of Richmond Hill has an opening for a contract position of Elections Assistant in the Office of the Clerk for approximately nine months.
The next regular Municipal and School Board Elections will be held in October 2026. The elections will be conducted both remotely and in-person using a variety of technology, including electronic voters’ list, optical scan voter tabulators (with paper ballots), and internet voting. Reporting to the City Clerk through the Elections Coordinator, the Elections Assistant will help prepare for all aspects of the elections, as well as some post elections task.
Key Duties and Responsibilities
- Assist with the planning and organizing of the effective delivery of the 2026 Municipal and School Board elections
- Develop, monitor, follow-up and maintain a project plan for the election.
- Assist in coordinating the people, materials, voting locations and equipment necessary to effectively implement the election.
- Assist with researching, developing and implementing strategies, including policies and procedures, related to various aspects of the election.
- Support the preparation, updating and the handling of the Voters’ List and voter notification process to ensure all voters are informed of where and when they are able to vote.
- Assist in liaising to the public, election workers and candidates, regularity monitor various elections related email addresses, and ensure responses are provided in a timely manner as appropriate
- Assist in coordinating the municipality’s election website information

Education and Experience
- Post-secondary diploma or degree (Public Administration, Political Science, Business Administration or suitable equivalent)
- Related experience with administering elections, municipal elections preferred
- Experience with using variety of elections technology would be an asset
Required Skills/Knowledge
- Intermediate computer skills (MS Office applications)
- Knowledge of project management fundamentals would be an asset
- Ability to work evenings and weekends as required
- Valid ‘G’ license and access to a reliable vehicle
