Position Summary
Keyera is looking for an Office Services Supervisor to join us in our Calgary office for a temporary 12-month contract. The Supervisor, Office Services is responsible for overseeing the daily operations of administrative support and front desk services within a professional office environment. This role ensures efficient workflow, high-quality customer service, and a well-maintained office space. The supervisor will lead a small team, including an administrative assistant and receptionist, and act as a key liaison between departments to support business operations.
Key Responsibilities
- Provide day-to-day leadership to the receptionist and the administrative assistant, ensuring high-quality service at the reception desk.
- Oversee front desk operations, including visitor management, mail distribution, and phone coverage.
- Manage office supplies, equipment, and vendor relationships to ensure operational efficiency, including general oversight of all meeting rooms, mailrooms, and kitchens.
- Coordinate office maintenance, repairs, and facility requests in collaboration with building management.
- Develop and implement office procedures and protocols to improve productivity and service delivery.
- Build and maintain strong relationships with office services vendors, leaders, and employees.
- Identify cost-saving opportunities, efficiencies, and ways to maximize service with office services vendors, including ownership of the annul budgeting process.
- Manage office moves, workstation reconfigurations, ergonomic assessments and large corporate re-stacking as needed with a high focus on service and efficiency for business continuity.
- General administration of the Calgary office parking, corporate travel program, and corporate service award program.
- Assist with scheduling meetings, preparing reports, and supporting executive-level staff as needed.
- Ensure compliance with health and safety standards and company policies.
- Maintain confidentiality and professionalism in all interactions.
Qualifications
- Minimum 5 years of experience in office administration or facilities coordination, with previous experience and track-record in a supervisory role.
- Professional demeanor and customer service orientation.
- Strong leadership, collaboration and interpersonal skills.
- Excellent organizational, problem-solving and time management abilities.
- Proficiency in Microsoft Office Suite and office management systems.
- Ability to handle multiple priorities in a fast-paced environment with strong attention to detail.
- Facilities Management Professional Designation from IFMA (International Facilities Management Association) is considered an asset.
