The Opportunity Reporting directly to the Director of Municipal Law Enforcement, this unionized role is responsible for the administrative support for the Municipal Law Enforcement Division, and for being the primary point of contact for by-law and parking enforcement inquiries and various licensing and permit application processes.

  • Educate and provide information to the public regarding Town’s by-laws, policies, and regulations
  • Respond and action complaints and inquiries received by residents, external clients, and staff in a timely manor
  • Prepare Municipal Freedom of Information requests, ensuring timeline is met
  • Process and assign client service requests to appropriate officer based on assigned areas or responsibility
  • Manage enforcement e-mail and respond to inquiries as required
  • Prepare and send out notices, work orders and enforcement documents related to Officers investigations
  • Interpret municipal by-laws, including but not limited to the Traffic, Zoning, Business Licensing, Property Standards, Parks and Sign By-laws
  • Accept, review and process Business Licensing Applications and Permit Applications ensuring information is complete and payment is processed and entered in AMANDA database
  • Process election sign applications and deposits. Track all infractions and subtract from deposit. Issue refunds following completion of election
  • Process taxi and refreshment vehicle applications and licensing; including verification of documents and eligibility, inputting of information into AMANDA, processing payment, scheduling vehicle inspections, etc
  • Prepare all necessary documentation/correspondence for various licensing applicants
  • Inform applicants of their application’s non-compliance or deficiencies they have identified and assist them with bringing their application into compliance
  • Provide daily administrative support to the Director, the Supervisors and Municipal Law Enforcement Officers
  • Communicate both verbally and in writing with applicants with respect to identified By-law deficiencies or missing information with respect to their permit or license application
  • Collaborates with the other Town staff with respect to courts, budget, finance and purchasing matters.
  • Attend/participate in meetings with clients or other internal staff
  • Participates and makes recommendations in the process to improve and/or develop policies, practices and procedures that enhance effectiveness and efficiency
  • Prepare Part III prosecution disclosures, information and summons for Bylaw enforcement matters and work closely with Legal to provide updates and/ or clarification
  • Provide statistics on enforcement matters to analyst and senior management
  • Management of information related to each service request and permit or license application in the AMANDA database system
  • Ensure that all Divisional records are maintained in accordance with Town’s retention policy
  • Assist with updating processes and procedures within the Department
  • Monitor department budget, process invoices and employee expenses
  • Manage all administrative processes for property cleanup and remediations, including scheduling site visits with officers and vendors, preparing scope of work, drafting entry letters, scheduling work with vendor, officer and OPP when required, etc
  • Complete invoice requisitions for all property remediations, including ensuring accuracy of vendor invoicing, billing property owner for all work performed, including calculation administrative and other fees, providing all documents to Finance as required
  • Assist with coordinator of winter parking ban, including updating online parking portal, following up on tickets issued, and providing statistical information to Supervisor/Director of Public Works
  • Assist with online parking permit applications and investigate discrepancies between resident complaints/tickets and Gtechna system
  • Maintain and file all parking evidence from private parking enforcement officers

The Ideal Candidate We are seeking a passionate professional with a post-secondary diploma in Public Administration, Political Science, or a closely related field. Our ideal candidate has a minimum of 1-2 years related experience in office coordination and administration and in a customer service role. Knowledge of Gtechna, AMANDA, ICON, Dynamics, GIS, Laserfiche, CapturePoint, CentreSquare will be an asset.

The ideal candidate will have excellent interpersonal skills including the ability to work effectively in a team environment. We are seeking an individual with superior organizational skills, a demonstrated ability to make decisions involving multiple routine tasks, work independently, with complex tasks requiring some supervision, and the ability to exercise significant discretion and sensitivity involving regular access to confidential data. The successful candidate is comfortable with analytical and problem-solving involving occasional ingenuity and refinement of procedures.

  • Computer proficiency in MS Office (Word, Excel, Outlook)
  • Satisfactory passing of a criminal record check

The successful candidate for Coordinator, Municipal Law Enforcement may be exposed to some conflict and emotionally charged situations and must be able to work after hours or when deemed necessary to meet deadlines and deal with urgent situations.

This unionized position offers a salary of $70,059.31 plus a competitive benefit package.
