What is the Opportunity?
The Coordinator, Student Services & Marketing is responsible for the coordination and administration of all student-facing services and events at The Glenn Gould School (GGS), including the Work Study Program. Reporting to the Director of Operations, this role oversees programs and operations supporting student success, academic progress, and overall well-being within the GGS as an educational institution.
Key responsibilities include maintaining student data and records, developing and implementing student support services (such as advising, orientation, and financial aid), supporting the GGS Student Council with annual elections and event coordination, and ensuring student compliance with policies and regulations. In addition, the Coordinator will support all GGS managers with preparation and proofreading of marketing materials that relate to GGS programs and events. This role requires strong leadership, communication, problem-solving, and organizational skills to create an inclusive environment that fosters student retention and success.
Main Duties & Responsibilities
Student Services (Current Students)
- Act as a point of contact between students, faculty, staff, and external partners to address needs and coordinate services effectively.
- Represents GGS administration at Student Council meetings and supports the Student Council President with planning and execution of all onsite events.
- Plans and implements all activities during student orientation week, in consultant with the Student Council President.
- Manages all administrative processes related to the start of a scholastic school year which includes but not limited to: creation of institutional email accounts, student card printing, insurance enrolment for international students, and locker assignments.
- Prepares and sends a weekly eBulletin to all GGS students, faculty and administrative staff throughout the academic year.
- Oversees the Work Study Program which pairs students with various jobs within GGS. Manages hiring requisitions in consultation with HR, the Director of Operations, and other GGS administrative staff.
- Manage budgets and resources for student services, ensuring efficient operations and the effective use of allocated funds.
- Handles student challenges, conflicts, and complaints, escalating to the Academic Office and/or the Director of Operations when appropriate.
- Interpret and apply institutional policies, procedures, and relevant laws, and assist in developing new ones to support student success and regulatory adherence.
- Researches, coordinates, and provides various useful external resources to students related to mental health support and financial aid.
- Manages and tracks the student accompanist hours and approved accompanist list
- Organizes and manages student complimentary ticket offers in consultation with the RCM Box Office.
- Prepares and distributes the annual Musicians for Hire list in response to inbox inquiries.
- Processes student fee and tuition payments, filing and tracking all receipts.
- Manages and responds to all inquiries received via the GGS 1-800# and inbox.
Marketing Support
- Consults with RCM’s centralized marketing team on the preparation of marketing collateral for GGS events, inclusive of concert programs, print advertising, promotional materials and social media content. Proofreads for accuracy, quality assurance and adherence to RCM brand guidelines.
- Supports GGS managers by collecting requisite materials for concert programs and other marketing collateral and liaises with RCM Marketing department on their behalf to schedule photo and video shoots.
- Arranges event photography and audio/video recording for all GGS concerts and events as required, in consultation with RCM Marketing, the Director of Operations and GGS managers.
- Completes an annual audit of all GGS web pages, ensuring information is up to date. Liaises with GGS managers to collect necessary information for webpages related to their program areas.
- Coordinates with RCM marketing staff to manage all GGS-specific social media channels, including but not limited to Facebook and Instagram. Encourages GGS students to engage with and supports work study students in developing relevant content for these channels.

Job Requirements:
What We're Looking For
- Bachelor’s degree in a related field, in addition to administrative experience ideally in an academic setting or an equivalent combination of education and experience.
- Experience working in a student- or customer-facing environment.
- Knowledge of the music profession and/or an understanding of the standards and content associated with The Royal Conservatory system of music education is an asset.
- Highly organized and detail-oriented, effectively manages competing priorities and deadlines.
- Exceptional communication skills (verbal & written) with internal and external stakeholders at all levels, demonstrating tact and diplomacy at all times.
- High degree of initiative and the ability to proactively solve problems.
- Ability to work independently and in a team environment.
- Proficiency in Microsoft Outlook, Excel, Word, Publisher, and PowerPoint; experience with scheduling software an asset.
Salary Range
- $40,000 – 45,000 per annum
Additional Information
- Availability to work evenings and weekends may be required from time to time.
- Attendance at external or internal events outside of working hours may be required from time to time.
- Works with confidential issues and data.
- A Vulnerable Sector Screening Check (VSC) is a required condition of employment.
