What does this role look like?
The CBE understands the future of work is flexible. In this role, you are eligible to participate in a flexible work program that allows you to work remotely for up to three days a week. A minimum of two days must be in the office. At certain times, you maybe be required to work in the office more then 2 days per week based on operational requirements.
Position Description
Purpose
This job serves as the Senior Systems Business Analyst for Facility Projects within the Facilities and Environmental Services department. The role is responsible for aligning processes, data, and reporting to support the continued optimal functionality of the corporate Integrated Workplace Management System (IWMS) (currently Archibus).
Working across business and technology teams, this job validates business requirements, simplifies workflows, strengthens data integrity, and drives continuous improvement. It plays a pivotal role in transforming and modernizing how user groups interact with the IWMS modules and optimizes team performance overall through technology and process excellence.
The ideal candidate will demonstrate leadership, initiative, and a commitment to continuous improvement and service delivery excellence.
Accountability
This position is accountable for:
- User support through validating requirements, triaging issues, coordinating fixes with vendors and safeguarding operations and release plans. This includes but is not limited to defining scope and objectives, facilitating alternate solutions and participating in application upgrades.
- Ensuring that technical solutions satisfy business and stakeholder needs.
- Evaluating technical specifications and solutions and providing recommendations for improvement.
- Providing proactive leadership with the team to contribute and influence the delivery of continuous improvement in support of organizational success.
- Presenting and clearly communicating findings and results with stakeholders, team members and project teams.
- Using project management and change management professional methodologies, tools, techniques, and best practices.
- Transitioning of technology-related initiatives within Facility Projects.
- Maintaining ongoing engagement with cross-functional teams (Procurement, Information Technology Services (ITS), Finance, Project Managers) to ensure alignment and shared understanding.
- Facilitating decisions on upgrades and implementations and keeping Procurement, ITS, Finance and project teams in step.
- Mentoring new team members on application use and maintaining accessible training and process documentation.
- Applying change control and migration discipline and providing concise documentation, queries and reports for decision making.
- Presenting clear updates and guide smooth handoffs for new technology initiatives.
- Raising opportunities to leverage technology in support of business process efficiencies for consideration by business owners*.*
Major responsibilities
- Participates in the implementation of CBE strategies as required.
- Supports ITS and vendor teams with system enhancements, upgrades, and configurations.
- Identifies and implements opportunities for automation and integration with downstream systems.
- Supports/participates in procurement activities associated with vendor selection, contract renewals, system licensing, Service Level Agreements and vendor performance.
- Serves as a strategic partner to the Director, Facility Projects, providing insights and recommendations around system customization, business process changes, expansion of system functionality and overall system optimization.
- Develops and maintains IWMS business processes.
- Develops and maintains broader Facility Projects’ business processes.
- Identifies deficiencies in systems, workflows, and processes and recommends corrective action.
- Keeps abreast of product and product lifecycle developments.
- Analyzes and recommends innovative solutions for continuous process improvement.
- Works with stakeholders and vendors to ensure proactive lifecycle planning, and management is observed.
- Provides first level application support in Archibus for end users and resolves system and/or user errors.
- Correlates information related to defects, incidents, anomalies, changes and issues to resolve problems proactively.
- Creates and updates functional specifications, completes quality assurance, prepares workplans, and coordinates with multiple departments for design testing and deployment.
- Coordinates thorough User Acceptance Testing (UAT), including integration and regression testing of the application.
- Reports on root causes of defects and problems identified during testing.
- Conducts requirements gathering and fit gap analysis to leverage application capabilities with business requirements.
- Conducts feasibility studies, option, impact and efficacy analyses.
- Prepares regular status reports as required.
- Manages the budget for projects as directed by stakeholders.
- Provides technical assistance to implementation teams.
- Maintains expertise in the core functionality of the IWMS technology, and the ITS application architecture. Maintains awareness of current and future trends, measure program effectiveness, address organizational needs, and support strategic planning initiatives to assist with organizational success, program and policy development, budget exercises, legislation changes, etc. in alignment with FES Service delivery.
Qualifications
Education and Experience:
- University Degree in Computer Science, Information Technology, Business Administration or a related discipline.
- A certificate in Business Analysis or Business Process Management from a post-secondary institution with a designation as Certified Business Analyst Professional (CBAP) from the International Institute of Business Analysis or Professional Business Analyst (PBA) from the Project Management Institute.
- 5 years experience in Business Analysis within large, complex organizations (ideally public sector).
- Experience supporting an Enterprise Integrated Workplace Management System (IWMS), ideally Archibus, is considered an asset.
- Experience with continuous improvement, change management and/or project management principles is considered an asset.
- Strong skills in process modeling, data analysis and requirements management, with a record of delivering practical solutions.
- Ability to manage multiple projects and priorities effectively, working in evolving environments.
- Experience with UI/UX/Usability testing.
- Experience with agile or hybrid methods and tools such as Azure DevOps, Jira or Confluence.
- Understanding of business analysis processes, methodologies, practices and terminology.
- High proficiency in MS Office Suite (Excel, Project, Visio, PowerPoint, Word.
- Excellent communication, facilitation, and stakeholder management skills.
- An equivalent combination of education and experience may also be considered
