Position overview:

Reporting to the Director of Financial Services, the Accounts Payable Clerk brings a hands-on work ethic and an attention to detail to their role. The Accounts Payable Clerk is directly responsible for processing vendors invoices, payments, petty cash and cash advance reconciliations in timely manner.

Key Accountabilities/Activities:

Accounts Payable:

  • Ensure proper authorization and account coding have been received for all disbursements.
  • Ensure that sales tax has been properly accounted for.
  • Enter accounts payable invoices into accounting system.
  • Review bills for potential errors and / or discrepancies.
  • Investigate and resolve billing discrepancies or misapplied cash transactions.
  • Review all credit balances, refunds, adjustments, to vendor billing records.
  • Balance weekly A/P batches; prepare and distribute payment reports with supporting documents for automatic bank withdrawals, cheque and EFT payments to authorized signing authorities.
  • Review and reconcile A/P subledger monthly to ensure timely payment of all non-payroll obligations.
  • Post and reconcile company payments to general ledger.
  • Form payment strategies to make timely A/P payments and mitigate supplier objections.
  • Set up vendors and update banking information for vendor EFT payments.
  • Provide support and ad hoc reporting on A/P

Credit card:

  • Reconcile and process group homes credit card statements on monthly basis

Banking:

  • Upload EFT file into online banking system for approvals
  • Setup transfers between the group homes accounts operating accounts for approvals
  • Process any direct payments from the bank account into Great Plains
  • Processing A/P related month end accruals
  • Preparation and submission of sales tax claims twice a year
  • Preparing T4As for the contractors at the year end
  • Maintaining filling A/P filling system
  • Work closely with Accounting Assistant
  • Back for Accounts Receivable
  • Other duties as assigned by Director, Financial Services
  • Assist other financial services staff members as needed
