Salary Grade: N08 From: $106,400.00 To: $133,000.00
Job Summary:
As an IT Portfolio Manager, you will define, advise, and support a technology portfolio focused on engagement across the cluster regarding communications and change, serving as a central point of contact for both communications and technology delivery-related change management. You will identify, coordinate, and support the planning, reporting, and implementation of engagement opportunities and information sharing across the IT cluster, and advise on the implementation of IT-driven change. You will interface with IT divisions, teams, and projects, as well as external partners (e.g., Communications, ECMO) to ensure staff are informed, connected, and prepared for change. You will also develop and maintain strong engagement and communication relationships across WSIB (including but not limited to EPMO, Procurement, Finance, Internal Audit, Legal Services, and Human Resources) and externally as required.
Major Responsibilities:
Portfolio governance and oversight
- Manage the internal change and communications portfolio through development and maturity phases, ensuring alignment with the various Technology roadmaps.
- Advise on IT portfolio governance, risk management, reporting, and communication strategies by taking a change-focused lens.
- Champion innovative, value-added solutions for change and communications-focused portfolio deliverables.
Portfolio viability and reporting
- Design and manage communication plans and change management practices to suit the dynamic needs within the portfolio.
- Prepare reporting on portfolio risks, monthly status, recommendations, and health checks.
- Assessing initiative documentation for change and communications impacts;
Portfolio process improvement
- Promote process integrity and recommend improvements to portfolio processes and methodologies to optimize change management and effective communications as an outcome of those processes.
- Advise the Project Management Office (IT PMO) on portfolio status and best practices from a change and communications lens.
Intake and planning
- Facilitate intake for new requests and estimate resource needs to support engagement, change management and communications.
- Develop and support tools for reporting and monitoring intake activities.
Support to planning management
- Provide advice and guidance for portfolio governance and benefits realization.
- Ensure support protocols, standards, and best practices are followed.
- Advise on portfolio interrelationships to support priority setting and resource allocation.
- Promote continuous improvement by sharing lessons learned and facilitating recommendations.
Dashboard and reporting implementation
- Participate in creating and generating IT portfolio dashboards and scorecards to support clearer communication and improved management and delivery.
- Make recommendations for dashboard and scorecard reporting to support engagement
- Support planning for the next three to five years, consistent with the IT roadmap.
Advice on sensitive IT initiatives
- Provide advice on sensitive IT initiatives, ensuring adherence to processes, governance, and benefits realization.
- Manage end-to-end portfolio scope, resources, and deliverables.
- Facilitate and manage meetings related to sensitive initiatives.
Requirements:
- Post secondary education and 8+ years of experience in change management and managing projects within the IT space.
- IT knowledge: Solid understanding of IT concepts, practices, and processes. ITIL certification is an asset.
- Change management experience: Experience in change management within the IT space. Change management certification or related education is a strong asset.
- Communication skills: Proven ability in technical writing, preparing internal memos, and facilitating internal communications.
- Project management: Experience managing large projects or initiatives is an asset. PMP certification or equivalent is an asset.
