Position Summary

The Executive Administrative Partner to the Chief Executive Officer (CEO) provides senior-level executive, governance, and administrative support, enabling the effective operation of the Executive Office. Working in a highly trusted partnership with the CEO, the role anticipates needs, coordinates priorities, prepares executive and governance materials, and supports organizational planning and decision-making. The Executive Administrative Partner collaborates closely with senior leaders, Board members, and external partners to support the CEO in advancing e4c's strategic priorities, governance responsibilities, and organizational leadership.

Key Responsibilities

  • Partner closely with the CEO to anticipate needs, coordinate priorities, and support executive planning, decision-making, and follow-through. 
  • Manage the CEO's complex calendar, travel, meetings, and competing priorities while ensuring appropriate scheduling, preparation, and flexibility. 
  • Prepare executive briefings, presentations, correspondence, reports, and meeting materials that are accurate, timely, and professionally presented. 
  • Coordinate the day-to-day operations of the Executive Office, including correspondence, approvals, records management, budget administration, and administrative processes. 
  • Provide comprehensive administrative and governance support to the Board of Directors and Board Committees, including meeting coordination, agendas, minutes, governance records, and follow-up. 
  • Coordinate communication and information flow between the CEO, Board members, Executive Leadership Team, employees, and external stakeholders, ensuring professionalism, responsiveness, and confidentiality. 
  • Support organizational priorities and special initiatives by coordinating timelines, tracking deliverables, preparing summaries, and following up on action items. 
  • Build and maintain positive working relationships with senior leaders, Board members, government representatives, funders, donors, community partners, and other key stakeholders. 
  • Handle highly sensitive organizational, governance, employee, legal, financial, and confidential information with exceptional discretion, professionalism, and sound judgment. 
  • Identify opportunities to improve Executive Office processes, systems, and administrative practices to enhance efficiency, service delivery, and organizational effectiveness

Qualifications

Education

  • Diploma or degree in Business Administration, Office Administration, Executive Administration, Public Administration, or a related field. 
  • An equivalent combination of education, specialized training, and directly related experience may be considered.

Certification

  • Training or certification in governance administration, project coordination, records management, business communications, executive office administration, or related administrative, governance, collaboration, or digital systems is considered an asset.

Experience

  • 5–7 years of progressively responsible executive administrative experience, including direct support to a Chief Executive Officer (CEO), Executive Director, or other senior executives. 
  • Demonstrated experience managing complex calendars, travel, executive correspondence, competing priorities, and highly confidential information. 
  • Experience supporting a Board of Directors, Board Committees, or senior leadership team, including preparing agendas, meeting packages, minutes, and governance records. 
  • Proven ability to prepare high-quality executive correspondence, reports, presentations, briefing materials, and other executive documents. 
  • Demonstrated ability to exercise sound judgment, manage changing priorities, work independently, and build trusted relationships with senior leaders and diverse stakeholders. 
  • Advanced proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint; experience with DocuSign and Adobe Acrobat is considered an asset. 
  • Experience in the non-profit, human services, public, community, or charitable sector, including supporting executive events, organizational initiatives, and external stakeholder relationships, is considered an asset.

Compensation and Benefits

  • Competitive Salary: $75,000.00 - $90,000.00 (based on experience)
