As an Information Management Advisor, you will provide information management for Planning and Development Servies (PDS) including information governance and document management, information risk management, knowledge management and enterprise content management. You will support PDS in managing information assets, meetings legislated requirements for responsible managing corporate records and support the access and privacy program. Primary duties include:

  • Implement information management (IM) procedures and best practices.
  • Develop and document business rules, guidelines and manuals for IM processes.
  • Ensure consistent and accurate classifications of physical and electronic records.
  • Assist with identifying non-records and transitionary documents, promote secure disposal methods to improve access efficiency and mitigate risks associated with improper retention.
  • Lead Toss, Recycle, Information Manage (TRIM) sessions with PDS employees for paper and electronic records.
  • Approve the implementation and decommissioning of PDS SharePoint sites and other shared drives.
  • Manage IM workflows related to the records lifecycle, retention and disposition.
  • Oversee the Content Server repository, manage the creation, modification, development and disposal of content.
  • Design and deliver training programs within the Content Server repository.
  • Develop and maintain detailed documentation related to the Content Servier Library Administrator (CLSA).
  • Address tickets and requests related to Content Server by providing support and troubleshooting.
  • Serve as a contact for privacy breaches and manage Access to Information Act (ATIA) and Protection of Privacy Act (POPA) requests.
  • Review PDS documentation to address privacy and confidentiality concerns.

Qualifications

  • A completed 1-year certificate in Records and Information Management or a related field and at least 5 years of Records and Information Management experience; OR
  • A completed 2-year diploma in Library, Archives, Library Information Technology, Information Systems, Business Administration or related fields and at least 3 years of Information Management experience.
  • Working knowledge and experience using electronic information management applications such as Content Server is an asset.
  • The successful candidate will have excellent organizational, analytical, and communication skills including:
    • Developing and maintaining IM operating procedures, standards, and controlled documentation.
    • Creating clear, practical job aids and user manuals to support consistent IM practices.
    • Driving adoption of IM practices through guidance, enablement, and ongoing support.

Workstyle

  • This position may be eligible to work from home for at least part of the time as one of several flexible work options available to City employees. These arrangements depend on the operational requirements of the role, employee suitability, and are subject to change based on operational needs and corporate direction.

Position Type: 1 Temporary (up to 18 months)

Compensation: Pay Grade 8 $39.00 - 52.14 per hour

Hours of work: Standard 35 hour work week.

Days of work: This position works a 5-day work week with 1 day off in a 3 week cycle.
