We’re looking for our next Associate Manager, Marketing Operations. Could It Be You?

We are seeking an organized and detail-oriented Associate Manager, Marketing Operations to be the operational backbone of our marketing team, ensuring we operate efficiently and fiscally responsibly. The Associate Manager, Marketing Operations will focus on optimizing the foundational execution and financial efficiency of the Questrade Marketing team. This role is crucial for managing the processes, workflows, budget, and external vendor relationships that enable the entire department to function smoothly and meet its goals.

The Associate Manager will be responsible for activating and maintaining operational work products that enhance departmental efficiency, strictly managing the marketing budget, and overseeing the entire lifecycle of our key vendor partnerships. This role requires strong organizational and project management skills, financial acumen, and a proactive approach to continuous process improvement.

In this role, responsibilities include but are not limited to:

  1. Financial & Budget Governance
  • Budget Management & Optimization: Own the day-to-day tracking, reconciliation, and accurate forecasting of the annual marketing budget, ensuring all spending aligns with planning targets. Actively identify and flag opportunities to optimize funds, reduce waste, and provide data-driven recommendations for maximizing marketing investment ROI.
  • Financial Process Execution: Manage the end-to-end finance processes for the department, including processing purchase orders, managing invoices, tracking accruals, and coordinating with the Finance team to ensure timely and accurate reporting.
  1. Process Activation & Workflow Efficiency
  • Operational Documentation: Responsible for activating, documenting, and continuously updating standardized marketing processes, campaign workflows, and work product templates across all marketing teams to improve operational efficiency and execution speed.
  • Workflow Enablement: Facilitate cross-functional project planning, scheduling, and operational asset delivery, acting as the primary point of contact for operational queries between marketing, finance, legal, and procurement teams to clear bottlenecks and ensure timely campaign launch.
  • Compliance & Governance Support: Support compliance efforts by ensuring all marketing processes and work products adhere to internal governance standards and external regulations (e.g., GDPR/CASL) as guided by legal and compliance partners.
  1. Vendor & Relationship Management
  • Vendor Sourcing & Onboarding: Support the management of marketing vendor relationships. This includes actively researching and sourcing new vendors, managing the onboarding and contracting process (in collaboration with procurement and legal), and ensuring the smooth transition of new partners.
  • Relationship Oversight: Oversee the ongoing health and performance of existing vendor partnerships, managing service agreements, and ensuring vendors meet delivery deadlines and quality expectations.
  • Tools & Systems Support: Support the team's usage of project management and administrative tools, ensuring data input integrity related to process management and budget tracking.
  1. Reporting & Strategic Support
  • Performance Documentation: Support the Head of Marketing Growth with necessary budget data, operational metrics, and process documentation required for quarterly business reviews, financial reporting, and annual planning processes.
  • Training & Documentation: Develop and maintain up-to-date documentation on operational processes, budget management best practices, and vendor engagement guidelines for the broader marketing team.
  • Optimization and accurate tracking of marketing funds, budgets, and projects; own all roadmap visualization and reporting across the team

  • Have 4+ years of experience in Marketing Operations, Project Management, or a related Business Operations role, with demonstrated experience managing budgets and external vendor relationships.
  • Have strong proficiency in budget tracking, financial reconciliation, and the ability to analyze spending to identify and execute cost optimization opportunities.
  • Have Vendor Management Expertise: Proven experience in managing external vendors, coordinating contract processes, and overseeing the vendor onboarding lifecycle.
  • Have excellent organizational skills and proven ability to define, implement, and manage cross-functional marketing workflows. Experience with project management tools (e.g., Asana, Jira) is a strong asset.
  • Have excellent verbal and written communication skills, with the ability to clearly articulate process requirements and updates to internal and external stakeholders.
  • Have meticulous attention to detail to ensure accuracy in financial tracking, contractual agreements, and process documentation.
  • Have fluency in waterfall, Agile, and Lean methodologies; Scrum and Kanban are an asset
  • Have experience working with software development teams (Product, Design) and familiarity with the software development lifecycle is an asset
  • Have experience with JIRA and Figma is an asset
  • Have a bachelor's degree in Business, Finance, Marketing, or a related field.
  • Have strong analytical skills and are a strategic thinker
  • Have exceptional time management and organizational skills
  • See the big picture while paying attention to the smallest details
  • Can work flexible hours when requested
  • Are motivated by a fast-paced, multitasking environment
  • Take ownership of tasks and drives projects through to completion
  • Have the willingness to multi-task and be flexible to take on varied responsibilities
