About The Role:
Reporting directly to the CEO, the Chief of Staff serves as a strategic advisor and primary liaison between the CEO, Executive Team, and Board of Directors. This pivotal role supports the CEO in managing corporate, governance, operational, and administrative priorities, representing the CEO on operational committees, and addressing complex and sensitive matters.
The Chief of Staff is instrumental in fostering a positive, productive workplace culture and in advancing Civida’s mission and strategic goals.
Our ideal candidate is a strategic and influential leader with exceptional political and governmental acuity, strong relationship-building skills, and a deep understanding of complex, matrixed organizations. They bring senior executive experience, a collaborative mindset, and a proven ability to navigate sensitive issues and align diverse stakeholder interests
Key Responsibilities:
Executive Advisory Coordination
- Serve as a trusted advisor and support for the CEO, resolving issues and guiding staff on appropriate actions. Independently address issues on behalf of the CEO where possible.
- Ensure the CEO is thoroughly briefed on high priority matters through both verbal updates and written reports or presentations, and that the appropriate staff are available to provide robust analysis and strategic framing.
- Drive CEO-identified initiatives, tracking progress, analyzing data, and sustaining momentum. Manage execution of strategic directives, clarifying roles and ensuring accountability.
- Act as the primary point of coordination for the CEO, ensuring alignment between strategic objectives and operational delivery
- Facilitate the planning and execution of executive team meetings, board meetings, and key initiatives
- Coordinate issues management and resolution, responding to sensitive and time-critical matters, facilitating stakeholder communication, and ensuring the Vice-President is informed and positioned to act effectively.
- Drive operational excellence within Executive Office by overseeing administrative operations, resource planning, budgeting, and staffing to ensure optimal support for strategic initiatives.
- Provide leadership and supervision of the Executive Assistants that deliver operational support to the Vice Presidents
Corporate & Board Governance
- Serve as the primary liaison between the CEO and the Board of Directors.
- Oversee board and committee scheduling, agenda development, materials preparation, and minute-taking in coordination with the Board Chair, Vice Chairs, and CEO.
- Maintain effective communication with Board members on governance, strategic priorities, and compliance matters.
- Support Board onboarding and ongoing professional development.
- Ensure accurate maintenance of governance documentation, policy registers, and compliance frameworks.
Strategic Planning and Internal Coordination
- Lead high-priority, cross-functional projects on behalf of the CEO, often involving sensitive or time-critical deliverables.
- Promote alignment and coordination across the Senior Leadership Team (SLT).
- Act as a conduit for executive-level communication, ensuring clarity, alignment, and follow-through across departments.
- Anticipate emerging issues and provide strategic advice and recommendations to the CEO and Board.
Qualifications:
Education and Experience
- Bachelor’s degree in human services or related discipline
- Master’s degree or in progress preferred. Min 7+ years of progressive leadership experience, ideally in outcome-based organizations.
- Experience in nonprofit, public relations, and government relations is essential.
- In-depth understanding of the social housing sector and relevant legislation (Alberta Housing Act, Residential Tenancies Act, Management Body Handbook).
- Equivalent combinations of education and experience may be considered.
Key Skills and Attributes
- Strong track record of building collaborative, high-trust relationships with diverse stakeholders.
- Proven ability to lead and influence cross-functional teams in complex environments.
- Excellent communication (written and verbal), facilitation, negotiation, and interpersonal skills.
- Strong strategic thinking, analytical, and decision-making capabilities.
- Demonstrated ability to manage complex projects and deliver results within tight timelines.
- High proficiency in Microsoft Office applications.
- Experience in unionized environments is an asset.
- Deep knowledge of Alberta’s political structure and public administration processes at the municipal, provincial, and federal levels is preferred.
