About this Role:

We are seeking an organized and customer-focused Design Centre & Construction Administrator to join our team for a 14-month temporary position. This role is ideal for someone who thrives in a fast-paced environment and enjoys supporting multiple teams. The successful candidate will play an important role in ensuring a positive experience for home purchasers while providing administrative support to the Design Centre, head office reception, and the construction office team.

To meet current operational needs this position requires someone who is confident and comfortable learning new software systems quickly, and adaptable during software transitions or process changes. A strong attention to detail, excellent organizational skills, and the ability to manage multiple priorities will be key to success in this role.

Key Responsibilities

Design Centre & Customer Support

  • Provide professional and timely responses to customer inquiries via email and phone

  • Welcome and assist purchasers during Design Centre visits, ensuring a positive and organized customer experience

  • Coordinate and schedule purchaser appointments while maintaining the department calendar

  • Support purchasers with access to online design tools and resources

  • Create and maintain accurate purchaser files and documentation within company systems

Office Reception & Administrative Support

  • Serve as the first point of contact for incoming calls and visitors, providing professional reception services

  • Coordinate courier services and manage incoming and outgoing deliveries

  • Arrange service and maintenance requests for office equipment

  • Order, track, and maintain office supply inventory to support daily operations

Construction Administration Support

  • Provide administrative support to the construction team, including preparing and organizing site documentation

  • Assist with the distribution of construction plans and internal project documentation

  • Maintain internal tracking sheets and assist with project reporting

  • Manage incoming and outgoing site correspondence and documentation

  • Support the implementation and ongoing use of construction management software and internal systems

What We’re Looking For

  • 2+ years of administrative experience, preferably in construction, real estate, or a similar environment

  • Strong organizational and time-management skills with the ability to manage multiple priorities

  • Exceptional attention to detail and accuracy

  • Professional communication skills and a customer-first mindset

  • Advanced proficiency in Microsoft Office, particularly Excel

  • Confidence learning and working with new software systems

  • Experience with construction or ERP software (NewStar considered a strong asset)

  • Experience supporting software transitions or system implementations is considered a strong asset

  • A proactive, team-oriented attitude and willingness to support multiple departments

Physical/Sensory Effort/Work Environment:

  • Provide service to several people or departments, working under many simultaneous deadlines.

  • Sitting or standing for long periods of time at workstation.

  • Overtime may be required during busy periods.

  • Manual dexterity is required to use desktop computer and peripherals.

  • Repetitive work.
